Summary
Overview: Pippify tells you when something needs your attention: a new lead, a new message, something waiting in the Review Queue, a quote your team needs to prepare, a booked appointment or an SMS that wasn't delivered. Notifications appear on the bell at the top of the screen, and some also pop up with a sound.
Prerequisites:
- You're signed in to Pippify. Notifications appear in the app; keep a Pippify tab open to see pop-ups as they happen.
How Pippin Decides
- New lead: saved to the workspace's first active user (usually the person who created the workspace).
- New message from an existing lead, and an opted-out lead writing in: saved to the teammate the lead is assigned to, or to the first active user if the lead is unassigned.
- Waiting for review for a reply Pippin drafted under Review every reply: saved to the teammate the lead is assigned to, or to the first active user if the lead is unassigned.
- Waiting for review for a quote, booking link or follow-up, approved item sent, appointment booked and SMS not delivered: saved to the workspace's first active user.
- Quote needed: when Pippin quotes from your catalog and your knowledge has no price for a clear request, Pippify tells your team that the quote needs a person, so a Sales Manager or Admin can prepare it. It isn't repeated for the same lead while your team is preparing that quote.
- Billing notifications (outcome usage, outcome packs, auto top-up): saved to every Admin.
- Gmail is disconnected: when Google stops accepting the workspace's Gmail connection, saved to every Admin. Each Admin also gets an email. A Zoho Mail inbox that stops working gives no bell notification or email; the Admin sees the red Zoho Mail is disconnected. bar instead.
- Pop-ups for a new lead, a booked appointment, an item waiting for review, a quote needed and an opted-out lead writing in appear for everyone in the workspace who has Pippify open at that moment.
Limits
- You can't choose which notifications you get.
Step-by-Step Instructions
Step 1: Check the bell
- Look at the bell at the top right of any page. A red number shows your unread notifications (99+ for more than 99).
- Click the bell to open the Notifications panel.
Step 2: Read and open notifications
- Each notification shows a short message and how long ago it happened. Unread ones have a dot. Examples:
- New lead: <name> from <company>
- New message from <name>
- Pippin drafted a catalog quote for <name> — review it (or a costed quote, a booking link)
- Pippin couldn't price <name>'s request from your catalog — draft the quote (in a Travel Agency workspace it adds (or switch to Costed in AI Studio → Quotes); only the Admin can make that switch)
- Appointment booked: <name>
- Your SMS to <name> was not delivered — <reason>
- <name> sent a message but has opted out — the AI won't reply; respond manually if needed
- Gmail (<address>) is disconnected — emails are not going out. Reconnect it in Settings → Channels. (Admins only)
- Click a notification to mark it read and go to the right place:
- New lead, appointment and quote needed: the lead's page.
- New message, undelivered SMS and opted-out lead: the conversation in the Inbox.
- Waiting for review and approved items: the Review Queue.
- Billing: Settings › Billing.
- Gmail is disconnected: Settings › Channels. See How to Disconnect or Reconnect Gmail.
Step 3: Filter and tidy up
- Turn on Unread only to hide notifications you've read.
- Click Mark all read to clear the unread count.
- Scroll to the bottom and click Load more to see older notifications.
- Close the panel with the X.
Step 4: Use the pop-ups
- When a new lead arrives, an appointment is booked, Pippin drafts something for review, Pippin hands a quote to your team, or an opted-out lead writes in, a pop-up appears with a bell sound. Its title is New Lead, Appointment Booked, Waiting for Review, Quote Needed or Opted-Out Lead Replied.
- Click View Lead to go to the lead (or to the Review Queue for Waiting for Review).
- To close the pop-up without going anywhere, click outside it or press Esc.
Verify It Worked
Success criteria:
- The bell shows a number when you have unread notifications, and the number goes down as you open them.
- Clicking a notification takes you to the lead, conversation or page it's about.
Troubleshooting
Common errors
- "No notifications yet" or "No unread notifications": there is nothing to show for the current filter.
Limitations & considerations
- If you lose your connection, the bell catches up when you reconnect, and at least every few minutes.
- Turn on your computer's sound to hear the pop-up bell.
- Only Admins can open Settings, so billing and Gmail notifications go to Admins only.
