Summary
Overview: Custom fields let you record your own details on leads, such as Industry, Budget or Preferred travel date. A field you create appears on every lead in your workspace, empty until you fill it in.
Prerequisites:
- You can open the lead's page. Sales Reps can open the leads assigned to them from the Leads page.
Step-by-Step Instructions
Step 1: Find the Custom Fields section
- Open the lead's page: click Leads in the left menu, then click the lead.
- On the Overview tab, find Custom Fields inside the Lead Details card.
Step 2: Create a new field
- Click New Field.
- In Create New Field, type the field name, for example "Industry". Names can be up to 60 characters.
- Choose the type: Text, Number, Date or Dropdown.
- For Dropdown, type the first choice in Option 1. Click Add option for more choices. Click the X next to a choice to remove it.
- Optional: fill in Value for this lead.
- Click Save.
Step 3: Fill in or change a value
- Click the value next to the field name (an empty field shows —).
- Type the value, or pick a date or a dropdown choice.
- Click the tick button to save, or the X button to cancel.
- Sales Managers and Admins can also click the three-dot button on the field's row, then Edit.
Step 4: Delete a field (Sales Managers and Admins)
- Click the three-dot button on the field's row. Sales Reps don't see this button.
- Click Delete.
- Confirm the message Delete "<field name>"? This removes it from every lead.
Verify It Worked
Success criteria:
- The new field appears under Custom Fields on this lead and on every other lead.
- The value you saved shows next to the field name.
Troubleshooting
Common errors
- "<field name> expects a number" or "<field name> expects a valid date": the value doesn't match the field type. Fix: enter a number or a valid date.
- "<field name> must be one of: …": the value isn't one of the dropdown's choices. Fix: pick a choice from the list.
- "A custom field named "<field name>" already exists.": field names must be unique, ignoring capitals. Fix: choose another name.
- "Could not save. Please try again.": the change didn't save. Fix: try again.
- Save stays grey: the name is empty, or a dropdown has no choices. Fix: fill them in.
Limitations & considerations
- Fields belong to the whole workspace. Deleting a field removes its value from every lead and can't be undone.
- A field's name, type and dropdown choices can't be changed after you create it. To change them, delete the field and create a new one.
- You can create custom fields only from a lead's page.
- If you connected Bigin by Zoho, you can map custom fields to Bigin fields so values sync. See How to Connect Bigin by Zoho.
