Summary
Overview: Archiving parks a lead you don't want to work right now. It leaves your active lists, Pippin stops replying and follow-ups stop. Nothing is deleted, and you can unarchive the lead at any time.
Prerequisites:
- None. Sales Reps can archive from the Inbox, and from the Leads page for leads assigned to them.
How Pippin Decides
- While a lead is archived, Pippin does not reply to it and does not start or continue follow-up sequences.
- If an archived lead writes in again, the lead stays archived. The message is saved and counted on the Inbox's Archived switch.
- When you unarchive a lead, Pippin owns the conversation again and replies to the lead's next message, even if a teammate had paused Pippin before.
Limits
- Archiving stops the lead's follow-up sequence for good. Unarchiving doesn't restart it; start a sequence again if you need one.
- You can't reply to, send a quote to, or send a booking link to an archived lead.
- Archived leads don't appear on the Leads board, and aren't counted in the active lists.
- A lead held for review stays held after you unarchive it.
Step-by-Step Instructions
Step 1: Archive a lead
Choose one way:
- Inbox: open the conversation and click the Archive lead button at the top. The conversation closes and the lead moves to Archived.
- Lead page: click More Actions, then Archive lead. An Archived badge appears next to the name.
- Leads table: in the Actions column, click the Archive lead button on the row.
- Leads board: click the Archive lead button on the lead's card.
- Several leads at once (Leads table): tick the leads, then click the archive button in the bar that appears. There is no confirmation step.
Step 2: Find archived leads
- Inbox: click Archived above the search box.
- Leads table: click the Archived chip next to the search box. Click Active to go back.
Step 3: Unarchive a lead
Choose one way:
- Inbox: open the archived conversation and click Unarchive in the bar at the bottom, or the Unarchive lead button at the top.
- Lead page: click More Actions, then Unarchive lead.
- Leads table (Archived): click Unarchive on the row, or tick several leads and click Unarchive in the bar.
Verify It Worked
Success criteria:
- After archiving you see "Lead archived" (or "Archived 3 leads" for several), and the lead leaves the active list.
- An archived conversation shows This lead is archived. Pippin is not replying and follow-ups are stopped.
- After unarchiving you see "Lead unarchived", and the lead is back in the active lists.
Troubleshooting
Common errors
- "Could not archive this lead" or "Could not unarchive this lead": the change didn't save. Fix: try again.
- "Archive failed. Please try again." or "Unarchive failed. Please try again.": a bulk action didn't save. Fix: try again.
- "This lead is archived. Unarchive it to send a quote.": you tried to send a quote to an archived lead. Fix: unarchive the lead first.
Limitations & considerations
- Archiving is not deleting. To remove a lead and its history permanently, see How to Delete a Lead.
- Archiving doesn't change the lead's stage. You can still mark an archived lead Won or Lost from its page.
