Summary
Overview: The default sequence is the one Pippin uses to follow up automatically when a lead goes quiet. Only one sequence can be the default. It is also the one picked first when someone starts a sequence by hand.
Prerequisites:
- You are the Admin of the workspace.
- You have at least one sequence. See How to Create a Follow-Up Sequence.
How Pippin Decides
About every 15 minutes, Pippify looks for leads to enroll in the default sequence. A lead is enrolled when all of these are true:
- The default sequence is turned on.
- Your side sent the last message, and the lead has been quiet for at least the first step's wait.
- The lead went quiet after the sequence was created.
- The lead is not marked won or lost, not archived, and not taken over by a person.
- The lead has not unsubscribed or asked to pause or stop follow-ups.
- No reply or quote for the lead is waiting for approval.
- The lead is not already on a sequence, and has not already been enrolled automatically twice.
- At least one step can reach the lead.
- The lead did not come from web chat. (You can still start a web chat lead on a sequence yourself.)
When a lead is enrolled, the first message goes out at once, or at the next opening of your sending window.
Limits
- Only one default at a time.
- If the default is turned off, or you delete it, no lead is enrolled automatically until you choose another default. Deleting the default doesn't pick a new one for you.
- Automatic enrollment never adds a lead more than twice. Starting a sequence by hand doesn't count toward this.
Step-by-Step Instructions
Step 1: Open Sequences
- In the left menu, click Sequences.
- The default sequence has a filled star and a Default label next to its name. Hover over the star to see Default sequence — auto-enrollment uses this one.
Step 2: Make another sequence the default
- Find the sequence you want.
- Hover over its empty star. It says Make default.
- Click the star. It fills in, and the old default's star empties.
Step 3: Check that the default is on
Make sure the switch on the default sequence's card is on. A sequence that is off shows a Disabled label.
If it is off, turn it on. Otherwise automatic follow-ups won't run.
When automatic follow-up is off, a notice at the top of the page says why:
- Automatic follow-up is off: no sequence is the default. Star a sequence to make it the default.
- Automatic follow-up is off: the default sequence “…” is switched off. Switch it on to resume.
Sales Managers and Sales Reps see the same notice, ending with Ask a client admin to pick a default sequence. or Ask a client admin to switch it on. The notice goes away once an enabled sequence is the default.
Verify It Worked
Success criteria:
- The sequence you chose shows the filled star.
- Its card, and its View leads page, show a Default label.
- No Automatic follow-up is off notice shows on the Sequences page.
- In a lead's Follow-up section, and in Add Lead, the sequence list shows it with (default) and picks it first. These lists show only sequences that are turned on.
Troubleshooting
Common errors
- The stars can't be clicked: you are not the Admin. Fix: ask your Admin.
- "Could not change the default sequence.": Fix: refresh the page and try again.
- No leads are being enrolled: the default may be turned off, or your leads went quiet before the sequence existed. Fix: turn the default on. For older quiet leads, start the sequence by hand (see How to Put Leads on a Sequence).
Limitations & considerations
- Changing the default doesn't move leads who are already on another sequence. They finish the one they're on.
- New sequences only pick up leads who go quiet after the sequence was created.
