Summary

Overview: Right after you create your account, Pippify opens the setup wizard (Account setup). You answer four short steps on the left: your website, your email inbox, your knowledge and a final check. While you do, Pippin sets up the rest of your workspace for you and shows every choice it makes in a live list on the right, with the reason and where it came from. When everything is set, you click Go live. You can't use the rest of Pippify until you do.

Prerequisites:

  • You are the workspace Admin. Sales Managers and Sales Reps never see the wizard.
  • The email inbox your leads write to: a Gmail account, or a Zoho Mail mailbox on a paid Zoho Mail plan, where your workspace offers Zoho Mail.
  • Allow pop-ups for Pippify in your browser (connecting opens a Google or Zoho sign-in window).
  • Something Pippin can learn from: your website address, and files such as rate sheets, package itineraries, booking terms and FAQs (or text you paste). If you have no website, files are enough.
  • Optional: a few emails you have sent to clients, so Pippin can copy how you write.

How Pippin Decides

  1. Your website (step 1): Pippin reads your homepage to work out your business type, a short summary of what you do and your industry, and looks for your logo in the site's header. It also adds your site's main pages to your knowledge. Without a website, or when the site can't be read, it works these out from your knowledge instead.
  2. Your inbox (step 2): your sender name stays the company name you gave at sign-up, and your reply-to address becomes the inbox you connected.
  3. Your knowledge (step 3): Pippin learns your voice and tone (from your sample emails and website), builds your lead scoring, writes starter guidance rules, and prepares a follow-up sequence.
  4. Pricing (after step 3): Pippin reads supplier rates from your files and decides how it quotes, your currencies and whether it needs an exchange rate. It also looks for your booking terms in your knowledge and adds them to Validity and terms; your quote validity stays the default until you change it. A Travel Agency with supplier rate sheets gets costed quoting; otherwise Pippin quotes from your knowledge. B2B workspaces always quote from your knowledge and skip rates, currencies and the exchange rate.
  5. Pippin stops and asks you (a Needs you line) only when it can't decide: when it isn't sure of your business type, and, with costed quoting, when your suppliers charge in one currency and your clients pay in another (it never guesses an exchange rate).
  6. Pippin never overwrites a value you changed, or settings your workspace already had before the wizard (shown as already set up).

Limits

  • Every line Pippin sets can be changed. Simple values change right in the wizard; lists (lead scoring, guidance rules, logo, supplier rates, follow-ups) change after you go live, in Settings › AI Studio, Settings › Branding or Sequences.
  • Going live turns on drafting with the automation level Review every reply: every reply Pippin writes waits in the Review Queue for your approval. Follow-up sequences, web chat and voice still send on their own. You can change the level later in Settings › AI Studio.
  • The follow-up sequence Pippin prepares stays off until you turn it on in Sequences.

Step-by-Step Instructions

Step 1: Your website

  1. The wizard shows Step 1 of 4 and Your website above the title What's your website?
  2. Under Website, type your homepage address, for example yourcompany.com. Your homepage is enough; Pippin follows the main links.
  3. No website? Click I don't have a website. The hint reads "No problem. Pippin will learn from your files instead." Click I have a website to type one after all.
  4. Click Continue. Pippin starts reading your site in the background while you go on.

Step 2: Connect your email

  1. The title reads Connect the inbox your leads write to (step name Connect email).
  2. Click Connect Gmail, or Connect Zoho Mail if your workspace offers it. A sign-in window opens and the button shows Waiting for auth... with the note "Finish signing in in the popup. This page updates once Gmail is connected." (or Zoho Mail).
  3. Sign in with the mailbox Pippin should use and allow access. For Gmail, Pippify asks Google only to read and send email.
  4. The step changes to Gmail connected (or Zoho Mail connected) with your email address.
  5. Click Continue. It stays greyed out until an inbox is connected.

Step 3: Add what Pippin should know

  1. The title reads Add what Pippin should know (step name Your knowledge).
  2. Add your files in any of these ways:
    • Drag files onto the box (Drop files here, or add from:), or click Upload files. You can pick several files at once.
    • Click Google Drive to import files or folders from your Drive.
    • Click Paste text to paste an article or FAQ.
  3. Each file shows in the list with Reading…, then Read (or Failed). The pages Pippin read from your website show here too.
  4. Optional: under Show Pippin how you write (optional), click Upload sample emails (PDF, Word or text files) or Paste an email. In the Paste an email window, add a Name (optional) and the Email, then click Add sample. Samples show Style only: Pippin copies your tone from them, but they are not added to your knowledge, so old prices in them are never quoted. Click the X next to a sample to remove it.
  5. When at least one file shows Read, click Continue. Until then the step says "Add at least one file, or wait until one shows Read."

Step 4: Watch Pippin finish

  1. The title reads Pippin is finishing up while Pippin is still working (step name Check and go live).
  2. The Pippin is working in the background card shows what Pippin is doing now (for example Building your lead scoring), its four stages (Website, Inbox, Knowledge, Pricing) marked Done, Working…, Up next, Waiting, Partly done, see the list or Skipped, a bar with how many lines are set (for example 9 of 16 set) and tips under While you wait.
  3. When Pippin is done, the card shows Pippin finished setting up and "Everything is on the right. Check it over, then go live."

Step 5: Check the setup list

The list on the right, Pippin is setting up your workspace, fills in as Pippin works. On a phone or narrow window, click the Setup button (for example Setup 9/16) at the bottom to open it, and Close to go back.

  1. Read each line. Lines are grouped under Business, Email, How Pippin writes, Pricing and Leads:
Group Lines
Business Business type, Company name, What you do, Industry, Logo
Email Sender name, Reply-to
How Pippin writes Voice and tone, Guidance rules
Pricing Supplier rates, How Pippin quotes, Currencies, Exchange rate, Validity and terms
Leads Lead scoring, Follow-ups
  1. Each line shows the value, why Pippin chose it and where it came from (for example your website, a file name, AI, sign-up, default or you). A line that is still waiting says so, for example Waiting for your answers or After your knowledge is added.
  2. To change a value, click Change next to it, edit it and click Save (or Cancel). You can change Business type, Company name, What you do, Industry, Sender name, Reply-to, Voice and tone, Currencies and Validity and terms (quote validity in days, or No fixed validity, plus your terms). How Pippin quotes (Catalog or Costed) can be changed for a Travel Agency, and Exchange rate once one is set. A changed line shows you as its source.
  3. Lines that are lists say Change in AI Studio after go-live.
  4. If you change your Business type, Pippin rebuilds your lead scoring, guidance rules and follow-ups for the new type. Moving to a B2B type also sets How Pippin quotes back to Catalog.
  5. If you go Back to step 1 and enter a different website, Pippin reads the new site and replaces the pages it added from the old one.

Step 6: Answer what Pippin can't work out

If Pippin needs you, the title reads One thing Pippin can't work out (or 2 things Pippin can't work out), and a card shows for each question. In the list, the line shows Needs you; click it to jump to the card.

  1. Business type: the card says why Pippin isn't sure. Click the type that fits. Pippin's best guesses show first with a percentage.
  2. Exchange rate: the card names your two currencies and asks how many of your suppliers' currency make 1 of your clients' currency, for example "Your suppliers charge PHP and clients pay USD. How many PHP make 1 USD?" Type the number and click Save.
  3. The answered card turns grey with a tick and shows your answer.

Step 7: Go live

  1. When nothing is working or waiting for you, the title reads All set. Ready to go live? and a note explains that going live turns on drafting for your inbox.
  2. Click Go live. The button shows Going live...
  3. The title changes to Pippin is live: "New inquiries now get a draft in your Review Queue. Change any setting from the list or later in Settings." The list on the right shows a Live badge and "Pippin is answering new inquiries to <your address>. Every draft waits in the Review Queue for your approval."
  4. Under Recommended next, click Connect your calendar, Invite your team or, when Pippin set up costed quoting, Review supplier rates. Or click Go to Dashboard.

Verify It Worked

Success criteria:

  • You see Pippin is live, and the progress bar shows all four steps done.
  • After Go to Dashboard (or a Recommended next item), the left menu and Settings are available and the wizard doesn't open again.
  • Settings › AI Studio shows the knowledge, guidance rules and lead scoring attributes Pippin set up, and Sequences shows the prepared follow-up sequence, turned off.
  • Your Dashboard shows the Complete your setup checklist. See How to Use the Complete Your Setup Checklist.

Troubleshooting

Common errors

  • "That URL is not valid. Check the address and try again." or "We couldn't find that domain. Check the address and try again." or "We couldn't connect to that site. Make sure it's online and publicly accessible.": Pippin couldn't use the website address. Fix: check the address, or click I don't have a website.
  • "Could not save your website. Please try again.", "Could not save your inbox. Please try again." or "Could not save your knowledge. Please try again.": the step didn't save. Fix: check your connection and click Continue again.
  • "Your browser blocked the sign-in popup. Please allow popups for this site and try again.": Fix: allow pop-ups for Pippify, then click Connect Gmail or Connect Zoho Mail again.
  • "Gmail connection timed out. Please try again." or "Something went wrong connecting Gmail. Please try again." (for Zoho Mail, the same messages name Zoho Mail): Fix: click the connect button again and finish the sign-in in the pop-up.
  • A Zoho Mail message such as "This Zoho Mail plan does not allow third-party apps. A paid Zoho Mail plan is required." or "This Zoho account has no Zoho Mail mailbox.": the Zoho account can't be used. See How to Connect Zoho Mail, or connect Gmail instead.
  • "Unsupported file type. Accepted formats: PDF, DOCX, DOC, TXT, XLSX, CSV, JPG, PNG, WEBP, GIF." or "File too large. Maximum size is 50 MB.": that file wasn't added; the others still were. Fix: save it in a supported format or smaller, then add it again.
  • "Only PDF, Word and text files", "That file is over 5 MB", "Up to 10 samples" or "This PDF has no text; paste the email instead": the sample email wasn't added. Fix: use Paste an email instead, or remove a sample first.
  • "Google Drive is not available yet.": Drive import can't be used in your workspace. Fix: upload the files or paste the text instead, or contact support.
  • "Give Pippin a moment; it is still finishing.": Pippin was still working when you clicked Go live. Fix: wait until the title reads All set. Ready to go live?
  • "Answer the cards first.": a question is still open. Fix: answer each card, then click Go live again.
  • "Could not go live. Please try again.", "Could not save your answer. Please try again." or "Could not save this change. Please try again.": Fix: try again. If a message such as "Sender name is required" or "Company name is required" shows under a line you are changing, fill in the value and click Save.
  • "Could not load your setup.": Fix: click Try again.
  • A line says Pippin couldn't finish it, for example "Pippin could not finish this; set it in Settings": you can still go live. Fix: set it later where the line says, for example Settings › AI Studio or Sequences.

Limitations & considerations

  • If you leave the wizard, Pippify brings you back to it the next time you open any page, at the first step you haven't confirmed yet. What Pippin already set stays.
  • Use Back to return to an earlier step. The progress bar isn't clickable.
  • The wizard has no left menu, so you can't open other pages until you go live. Click Sign out at the top to leave.
  • If you finish the setup in another tab, this tab goes to the Dashboard on its own.
  • While Pippin reads your rate sheets, the Supplier rates line shows its progress, for example Reading 2 of 4 files…. If it can't finish in time, Pippin quotes from your knowledge for now; switch to Costed later in Settings › AI Studio › Quotes when your rates show under Rates.
