Summary
Overview: Connect Bigin by Zoho so leads sync both ways: new records in your Bigin pipeline become leads in Pippify, and lead updates in Pippify flow back to your pipeline.
Prerequisites:
- You are the Admin of the workspace.
- Your workspace is on the Growth plan or higher. Settings › Billing shows your plan.
- You have a Bigin by Zoho account with at least one pipeline.
- Monday.com is not connected. Pippify syncs with one CRM at a time.
Step-by-Step Instructions
Step 1: Open the CRM connectors
- In the sidebar, open Settings › Connectors.
- Click the CRM category button under the page title. (The page opens on Calendar.)
- Find the Bigin card. It shows Not connected and the note "Two-way sync — new pipeline records become leads; lead status updates reflect back on your pipeline."
Step 2: Sign in to Zoho
- Click Connect Bigin. The button shows Redirecting… while Pippify opens Zoho.
- Sign in to Zoho and allow Pippify to access your Bigin account.
- You come back to the Connectors page on the CRM category. The card shows "Bigin connected. Now select a pipeline below." Click the close (×) button on the message to hide it.
Step 3: Choose a pipeline
- Under Select a Bigin pipeline to sync leads to and from., open the drop-down and choose your pipeline.
- Click Next.
Step 4: Map Pippify fields to Bigin fields
- The Map Pippify fields to Bigin fields table opens. Pippify pre-selects suggested matches. Change any of them in the Maps to Bigin Field column.
- These fields are required (marked *): Stage, Email, Phone and Company. Contact Name is optional.
- Rows marked Custom are your own lead custom fields. You can leave them — Not mapped —.
- The Bigin Type column shows the type and the internal name of the Bigin field you picked, so you can check you chose the right one.
Step 5: Match your stages
- After you pick a field for Stage, a list appears under it: one line per Pippify lead stage (for example New maps to, Quote Sent maps to, Won maps to).
- For each stage, choose the Bigin stage value it should match.
- Matching stages is optional. A stage you leave — Not mapped — does not sync in either direction.
- If two Pippify stages point to the same Bigin stage, a warning icon appears. Bigin changes to that stage can't tell the two apart, so give each stage its own value where you can.
Step 6: Match drop-down values (only if needed)
If you map one of your custom fields to a Bigin drop-down field, a list appears under it. Match each of your values to a Bigin value. You must match every value before you can continue.
Step 7: Turn on the sync
- Click Activate Sync. The button shows Activating….
- The card now shows your pipeline name with New records → leads · Lead status updates → pipeline.
Change the mapping later
- On the connected card, click Edit Mapping.
- Change the fields or stage matches, then click Activate Sync again. Click Back to leave without saving.
Disconnect Bigin
- Click Disconnect at the top of the card.
- Read "Disconnect Bigin? Lead sync will stop. Existing leads are not deleted."
- Click Yes, Disconnect, or Cancel to keep the connection.
To connect a different pipeline, disconnect and connect again, then repeat Steps 2 to 7.
Verify It Worked
Success criteria:
- The Bigin card shows Connected and your pipeline name, and the CRM category button has a dot.
- A new record you add to the pipeline, with an email or phone number, appears as a new lead in Leads.
- A new lead in Pippify, or a stage change on a lead, shows up on your Bigin pipeline.
Troubleshooting
Common errors
- "CRM connectors are available on the Growth plan and up.": your plan does not include CRM connectors. Fix: upgrade in Settings › Billing.
- "Your subscription is inactive. Reactivate it under Settings > Billing.": the subscription has ended. Fix: reactivate it in Settings › Billing.
- "Disconnect Monday.com to connect Bigin.": Monday.com is your active CRM. Fix: disconnect Monday.com first. See How to Connect Monday.com.
- "Bigin authorization was cancelled.": you closed or declined the Zoho screen. Fix: click Connect Bigin again and allow access.
- "Bigin connection failed. Please try again." or "Couldn't start the Bigin connection. Please try again.": the sign-in did not finish. Fix: try again.
- "Couldn't check your Bigin connection status. Please refresh and try again." or "Could not check your CRM connection status. Please refresh and try again.": Pippify could not load the connection. Fix: refresh the page.
- "No pipelines found in your Bigin account. Create a Pipeline in Bigin, then refresh this page.": Fix: create a pipeline in Bigin, then refresh.
- "Failed to load pipeline fields. Please go back and try again.": Fix: click Back and choose the pipeline again.
- Activate Sync is greyed out: a required field (Stage, Email, Phone, Company) is not mapped, or a custom drop-down value is not matched. Fix: fill in every required row and match every value.
- "1 field isn't syncing to Bigin:" (or "N fields aren't syncing to Bigin:"): Bigin keeps rejecting values for that field. Fix: click Edit Mapping and map that field to a different Bigin field, or leave it unmapped.
- The card shows Not connected even though you connected before: Zoho stopped accepting Pippify's access (for example, access was removed in Zoho). Fix: click Connect Bigin and set up the pipeline again.
Limitations & considerations
- Only one CRM can be connected at a time: Bigin or Monday.com.
- A new Bigin record needs an email or a phone number in the mapped fields to become a lead.
- Pippin does not send an automatic first reply to leads that come from Bigin, because nobody wrote in. The lead is still scored. To contact the lead, reply from the Inbox.
- Leads that came from Bigin are not pushed back to Bigin as new records, because they already exist there.
- If your plan no longer includes CRM connectors, the card shows "Lead sync to Bigin is paused on your current plan. Your connection stays saved." Updates from Pippify stop reaching Bigin until you upgrade. Your connection and mapping are kept.
- Deleting a lead in Pippify does not delete the Bigin record.
