Summary

Overview: Connect Cal.com or TidyCal so Pippin can send your booking link to leads, and so the meetings they book show up in Pippify.

Prerequisites:

  • You are the Admin of the workspace.
  • You have a Cal.com account, or a paid TidyCal plan (TidyCal only gives API access on a paid plan).
  • You have the link to your booking page (for example, your 30-minute meeting page).

How Pippin Decides

  1. When Pippin decides a meeting is the right next step for a lead, it adds your Booking Page URL to its reply. On email, the reply and the link go out together as one email in the customer's thread. See How Pippin Sends a Booking Link.
  2. What happens next depends on your automation level in AI Studio:
    • Review every reply or Supervised: the booking link waits in the Review Queue until someone approves it.
    • Full auto: Pippin sends the booking link itself. If that send fails, the link goes to the Review Queue instead.
  3. Pippin sends one booking link per lead. If a link was already sent, or one is already waiting for approval, it does not queue another.
  4. When the lead books, Pippify matches the booking to the lead by the email address the lead booked with. The lead moves to Meeting Booked, becomes Hot, and the booking appears on the Appointments page. If the booking is cancelled, the meeting no longer keeps the lead Hot.

Limits

  • You can connect only one calendar at a time: Cal.com or TidyCal.
  • Full auto (Pippin sends booking links itself) is on the Growth plan and up.
  • Cal.com reports new bookings to Pippify right away. TidyCal has no instant notifications, so Pippify checks TidyCal about every 5 minutes.
  • A booking is matched only to a lead whose status is Meeting Requested, Meeting Link Sent or Meeting Booked and whose email matches the email used to book.

Step-by-Step Instructions

Step 1: Open the Connectors page

  1. In the sidebar, open Settings › Connectors.
  2. The page opens on the Calendar category. The category buttons under the page title are Calendar, CRM and Knowledge. If another one is selected, click Calendar. A dot on a category button means something in it is connected.
  3. You see two cards: Cal.com and TidyCal. Each card shows Connected or Not connected at the top right.

You can also get here from:

  • the Connect your calendar item on the Dashboard's setup checklist, or
  • the Connect your calendar link on the Appointments page.

Step 2: Get your API key

  • Cal.com: in Cal.com, go to Settings → Developer → API keys and create a key.
  • TidyCal: in TidyCal, go to Integrations → Advanced → Manage API keys → Personal tokens and create a personal token. The card links to this page.

Step 3: Paste and verify the key

  1. On the card for your provider, paste the key into API Key. Click the eye icon to show or hide it.
  2. Click Verify.
  3. Wait for "Key verified — save to connect."

Step 4: Add your booking page link

  1. In Booking Page URL, paste the link to your booking page. It must start with https://.
  2. This link is what Pippin includes in meeting invite emails to leads, and what Copy Booking Link on a lead's Appointments tab copies.
  3. Use the copy icon to copy the link, or the open icon to preview the page.

Step 5: Save

  1. Click Save Changes. (Click Discard to undo your changes.)
  2. The card now shows Connected.

Step 6 (optional): See how it works

Click How it works on the card to see a short summary of the booking flow for that provider. Click Close when done.

Change or remove the connection

  • Replace the key: paste a new key into API Key (the field shows that a key is already saved), click Verify, then Save Changes.
  • Change the booking link: edit Booking Page URL and click Save Changes.
  • Disconnect: click Disconnect at the top of the connected card. This removes the key and the booking link.
  • Switch providers: disconnect the current provider first. While one is connected, the other card is greyed out with "Disconnect Cal.com to connect TidyCal" (or the reverse).

Verify It Worked

Success criteria:

  • The provider card shows Connected, and the Calendar category button has a dot.
  • The Appointments page no longer shows "Your calendar is not connected, so no bookings will appear."
  • When a lead books through your link, the lead moves to Meeting Booked and the booking shows on Appointments (right away for Cal.com, within about 5 minutes for TidyCal).

Troubleshooting

Common errors

  • "Invalid key. Check Cal.com → Settings → Developer → API keys.": the Cal.com key is wrong or was deleted. Fix: create a new key in Cal.com and verify again.
  • "Invalid key. Generate a personal token in TidyCal → Integrations → Advanced → Manage API keys → Personal tokens (requires a paid plan).": the TidyCal token is wrong. Fix: create a new personal token and verify again.
  • "This token needs a paid TidyCal plan — API access is paid-only. Upgrade, then verify again.": your TidyCal account is on a free plan. Fix: upgrade TidyCal, then click Verify again.
  • "TidyCal is temporarily unavailable. Try again in a moment.": TidyCal did not answer. Fix: wait a moment and click Verify again.
  • "Failed to save. Please try again.": the save did not go through. Fix: check that the booking link starts with https:// and try again.
  • Save Changes is greyed out: you pasted a new key but did not verify it. Fix: click Verify first.
  • "[Provider] is connected but no booking URL is set — leads won't receive a booking link." on the Appointments page: Fix: click Add your booking URL and fill in Booking Page URL.

Limitations & considerations

  • If a lead books with a different email address from the one Pippify has for them, the booking is not matched to the lead.
  • Pippify only sends your booking link. The lead picks the time slot on your Cal.com or TidyCal page.
