Summary
Overview: Connect your Zoho Mail inbox so Pippin can read new inquiries that arrive there and reply to them from your Zoho Mail address. Zoho Mail is the other email inbox you can use instead of Gmail. You can connect it during the setup wizard or later from Settings › Channels.
Prerequisites:
- You are signed in as the workspace Admin.
- You can sign in to the Zoho account that owns the mailbox you want Pippin to use.
- The mailbox is on a paid Zoho Mail plan. Zoho's free plan does not allow other apps to use the mailbox.
- No other email inbox is connected to this workspace. If Gmail is connected, disconnect it first.
- The Zoho Mail address is not already connected to another Pippify workspace.
- Your browser allows pop-up windows for Pippify. Zoho's sign-in opens in a pop-up.
Step-by-Step Instructions
Step 1: Open the email connection
You can start from either place:
From the setup wizard
- On the step Connect the inbox your leads write to (step name Connect email), click Connect Zoho Mail on the Zoho Mail card.
From Settings
- In the sidebar, go to Settings › Channels.
- Click the Email tile. The Email card opens below the tiles. Its badge says Not connected, and it reads Gmail or Zoho Mail.
- Click Connect Zoho Mail.
Step 2: Sign in with Zoho
- A Zoho sign-in window opens. The button changes to Waiting for auth… and Pippify shows "Complete the sign-in in the popup. This page will update once connected." (in the setup wizard: Waiting for auth... and "Finish signing in in the popup. This page updates once Zoho Mail is connected.").
- Sign in to the Zoho account that owns the mailbox.
- Review the access Zoho asks for and accept it. Pippify asks Zoho to read your mail accounts, folders and messages, and to send messages.
- The pop-up shows Zoho Mail connected! and closes itself. If it stays open, click Close tab.
Step 3: Confirm the connection
- Go back to the Pippify tab. It updates on its own within a few seconds.
- In the wizard, you see Zoho Mail connected with your address. Click Continue to go on. Pippin sets your reply-to address to this inbox; the Reply-to line in the setup list shows it.
- In Settings › Channels, the Email tile and card show a Connected badge. The card shows your Zoho Mail address and Connected via Zoho OAuth.
Pippin uses the mailbox's own address (for example sales@yourcompany.com), not the address you sign in to Zoho with, when those are different. Replies, quotes, booking links and follow-ups go out from that address.
Step 4: Fix a Zoho Mail connection that stopped working
Zoho can stop accepting the connection, for example after a password change or when Pippify's access is removed from your Zoho account. When Pippify notices, you see:
- A red bar at the top of every page (Admin only): Zoho Mail is disconnected. Emails from your address are not going out and new emails are not coming in. Follow-up sequences are paused until you reconnect. It has a Reconnect link.
- On the Email tile and card: a red Reconnect needed badge, Zoho Mail stopped accepting this connection under your address, and a red box that starts Zoho Mail is disconnected for your address.
To fix it:
- Go to Settings › Channels (or click Reconnect in the red bar) and open the Email tile.
- In the red box on the Email card, click Reconnect Zoho Mail.
- In the Zoho pop-up, sign in to the same Zoho account and accept the access.
- When the pop-up closes, the badge changes back to Connected and the red bar goes away.
Reconnect with Reconnect Zoho Mail rather than Disconnect. When you reconnect the same mailbox this way, Pippin picks up the emails that arrived while the connection was down, and paused follow-up sequences start again on their own.
Step 5: Disconnect Zoho Mail (or switch to Gmail)
- Go to Settings › Channels and open the Email tile.
- Next to your address, click Disconnect. A window titled Disconnect Zoho Mail? explains that Pippin stops reading and sending email from your address, and that email follow-up sequences pause until you reconnect.
- Click Disconnect to confirm, or Cancel to keep the connection.
- The card shows Not connected with Connect Gmail and Connect Zoho Mail. To switch to Gmail, click Connect Gmail. See How to Connect Gmail.
Verify It Worked
Success criteria:
- The Email tile in Settings › Channels shows Connected, and the card shows the right Zoho Mail address with Connected via Zoho OAuth.
- The Ignored senders card now appears under the Email card.
- Send a test email from a different address to the connected Zoho Mail inbox. A new lead appears in the Inbox.
Troubleshooting
Common errors
- "Disconnect your current email inbox first.": another email inbox (such as Gmail) is already connected to this workspace. A workspace uses one email inbox at a time. Fix: disconnect the current inbox on the Email card, then click Connect Zoho Mail.
- "This Zoho Mail address is already connected to another workspace.": the mailbox is in use in another Pippify workspace. Fix: disconnect it in the other workspace first, or use a different mailbox.
- "This Zoho Mail plan does not allow third-party apps. A paid Zoho Mail plan is required.": Zoho refused to let Pippify use the mailbox, usually because it is on Zoho's free plan. Fix: move the mailbox to a paid Zoho Mail plan, then connect again.
- "Your Zoho account's region is not supported yet. Contact support.": your Zoho account is hosted in a Zoho region Pippify can't connect to. Fix: email support.
- "This Zoho account has no Zoho Mail mailbox.": the Zoho account you signed in with has no usable Zoho Mail mailbox (or no Inbox folder). Fix: sign in with the Zoho account that owns the mailbox.
- "Something went wrong connecting Zoho Mail. Please try again.": you declined Zoho's access request, or the connection failed. The pop-up shows Connection failed. Fix: click Connect Zoho Mail again and accept the access.
- "Your browser blocked the sign-in popup. Please allow popups for this site and try again.": your browser stopped the Zoho window from opening. Fix: allow pop-ups for Pippify, then click Connect Zoho Mail again.
- "Could not start the Zoho Mail connection. Please try again.": Pippify could not open Zoho's sign-in. Fix: refresh the page and click Connect Zoho Mail again.
- "Zoho Mail connection timed out. Please try again.": the sign-in was not finished in time. Fix: click Connect Zoho Mail and complete the sign-in without waiting.
- "Could not disconnect Zoho Mail.": the disconnect didn't go through. Fix: try again.
- "Zoho Mail stopped accepting this connection. Please reconnect your email in Settings → Channels.": Zoho no longer accepts the connection, so the email could not be sent. Fix: click Reconnect Zoho Mail as in Step 4.
Limitations & considerations
- A workspace connects one email inbox at a time: Gmail or Zoho Mail, not both. One Zoho Mail address can be connected to only one workspace.
- If you don't see Connect Zoho Mail, only Gmail is offered for your workspace. Email support if you need Zoho Mail.
- Pippin reads new mail that arrives in the mailbox's Inbox folder. Emails that were already in the inbox before you connected don't become leads. After you disconnect and connect again, only emails from the new connection onward become leads.
- Pippify checks your Zoho Mail inbox for new mail on a schedule, so a new email can take a short while to appear in the Inbox.
- When Zoho stops accepting the connection, Pippify shows the red bar and the Reconnect needed badge. It does not send a bell notification or an email about it, so check Settings › Channels if emails stop coming in.
- While Zoho Mail needs a reconnect, Pippin can't send or receive email, and conversations can show "No automatic reply was sent because the email inbox connection has expired or was revoked; reconnect it in Settings → Channels."
- In the setup wizard, Continue on the email step stays greyed out until an email inbox is connected.
- Your Zoho password is never stored in Pippify. Zoho handles the sign-in.
