| All plans and the free trial | Sales Manager and Admin | Travel Agency and B2B - Closing Deals | About 10 minutes | Beginner |
Summary
Overview: You don't have to wait for Pippin. A Sales Manager or Admin can write a quote for any lead from the lead's page, save it as a draft and send it.
Prerequisites:
- You are a Sales Manager or Admin.
- The lead is not archived.
- Your email inbox (Gmail or Zoho Mail) is connected, for leads you reach by email.
Step-by-Step Instructions
Step 1: Start the quote
- Open the lead.
- Click the Quotes tab, then Generate New Quote. Or click More Actions › Send Quote.
- The quote page opens with an empty document.
If your workspace uses Costed quoting (Travel Agency only), you see Start a costed quote instead. See How to Start a Costed Quote.
Step 2: Write the quote
- Click in the document and type. The prompt reads Write your quote here — type freely, insert tables, add headings, lists, or anything you need…
- Type / to add a Heading 1, Heading 2, Heading 3, Bullet List, Numbered List, Table or Divider.
- Select text to make it Bold, Italic or Underline, turn it into a heading, or align it.
- In a table, use the menu that appears to Add column, Add row, Delete column, Delete row or Delete table.
- Write every price, inclusion and condition in the document. The lead receives this document.
Step 3: Save the draft
- Click Save Draft. Pippify shows "Draft saved successfully".
- The quote now has a reference number and shows Draft at the top of the page. It appears in the lead's Quotes tab with the status Draft, and on the Quotes page.
- To leave without saving, click Discard, then Discard changes. Choose Keep editing to stay.
Step 4: Use the Actions menu (after the first save)
- Click Actions.
- Edit Subject: set the email subject. Leave it empty to reply in the lead's own email thread.
- Regenerate with AI: Pippin drafts a new quote from the conversation. Click Yes, Regenerate to confirm. Pippify opens the new quote; the one you wrote stays in the lead's Quotes tab.
- Export as: download the quote as PDF, Word (.docx) or Excel (.xlsx).
Step 5: Send it
- Click Approve & Send.
- Pippify sends the quote to the lead and takes you back to the lead's page.
Verify It Worked
Success criteria:
- The lead's Quotes tab lists the quote with the status Sent.
- On the Quotes page the Next step column shows Sent [date], not yet opened.
Troubleshooting
Common errors
- "Failed to save draft. Please try again.": the save didn't go through. Fix: try again. If it keeps failing, reload the page and copy your text first.
- "This lead is archived. Unarchive it to send a quote.": Fix: unarchive the lead first.
- "Email channel not connected. Please configure your email channel in Settings.": Fix: an Admin connects Gmail or Zoho Mail in Settings › Channels.
- "This lead has no email address on file — only a phone number. Reply by SMS instead, or ask the customer for an email address.": Fix: add the lead's email address, then send.
- "This quote is empty. Write the quote or add its prices before sending.": the document is empty. Fix: write the quote, then send.
Limitations & considerations
- Sales Reps don't see Generate New Quote or Send Quote.
- A quote you write yourself doesn't go to the Review Queue. It stays a Draft until you send it.
- A quote you write has no separate price or validity fields. The Price column on the Quotes page doesn't read prices from your text, so write all prices and the validity date in the document. The quote email and chat message don't show a total for it: the customer reads the prices in the attached document (or the chat text), and a chat message shows the quote's reference number.
- After you send it, the quote is locked: it opens read-only and can't be edited, deleted or sent again. To change the offer, use Actions › Regenerate with AI.
- The Actions menu works only after the first save.
