Summary
Overview: Build a form, such as "Get a Quote" or "Contact Us", publish it, and share it as a link or embed it on your website. Every submission becomes a new lead in Pippify and is scored like any other lead.
Prerequisites:
- You are signed in as the workspace Admin.
- Your email inbox (Gmail or Zoho Mail) is connected. You can't create a form without it.
Step-by-Step Instructions
Step 1: Open the form builder
- In the sidebar, go to Settings › Channels and click the Web forms tile.
- On the Web forms card, click Open Form Builder. The Web Forms page opens and lists your forms.
Step 2: Create a form
- Click New Form.
- The builder opens with a starter "Contact Us" form: First Name, Last Name, Email Address, Phone Number, How can we help you? and Message.
- At the top, click the form name and type your own name, such as "Cebu Tour Inquiry".
Step 3: Add and edit fields
- In the left panel, open the Fields tab.
- Click a field type to add it to the bottom of the form: First Name, Last Name, Short Text, Long Text, Email, Phone, Dropdown, Checkboxes, Radio Group, Date Picker, Header or Paragraph.
- On each field:
- Click the label to rename it. Give every field a different label.
- Tick Req to make it required.
- Type Placeholder text… to show a hint inside the box.
- For Dropdown, Checkboxes and Radio Group, type the choices under Options (one per line).
- For Header and Paragraph, type the text. A paragraph can hold up to 500 characters.
- Set Width: to Full or Half.
- Drag a field by its handle to move it. Use the copy icon (Duplicate) or the bin icon (Remove).
- Use ↩ Undo and ↪ Redo at the top if you make a mistake.
Step 4: Style the form
- Open the Design tab.
- Set Background color, Card background, Accent color, Corner radius (px), Button text and Button style (Filled, Outlined or Ghost).
- In Thank-you message, write what people see after they submit.
- Click Preview at the top to see the form as visitors will. Click Edit to go back.
Step 5: Save and publish
- Click Save Changes at the bottom. Save before you publish, so the published form has your latest edits.
- Click Publish. The status chip changes from Draft to Published.
Step 6: Share the form
- Click Copy Link. The Share this form window opens.
- Under Direct link, click Copy to copy the form's web address. Share it in emails, social posts or ads.
- Or copy the Embed snippet and paste it into a page on your website to show the form there.
Step 7: Manage forms from the list
On the Web Forms page, click the ⋮ menu on a form card to:
- Edit it (or click the card).
- See its Submissions.
- Duplicate it. The copy is a draft named "(Copy)".
- Publish or Unpublish it.
- Delete Form. A window titled Delete form? warns that the form and its submissions link stop working and that this cannot be undone. Click Delete to confirm, or Cancel.
Verify It Worked
Success criteria:
- The form card on the Web Forms page shows Published.
- Open the direct link in a private browser window. The form shows, and after you submit it you see your thank-you message.
- A new lead appears in the Inbox, with the subject Form submission - and the form name, and the answers in the conversation.
Troubleshooting
Common errors
- Visitors see Form not found and This form may no longer be active.: the form is a draft or was unpublished or deleted. Fix: publish it.
- The Share this form window says Publish the form first to make this link active.: click Publish.
- "Could not update the form." after a ⋮ menu action: the delete, duplicate, publish or unpublish didn't go through. Fix: try again.
- Visitors see This field is required.: a required field is empty.
- Visitors see Something went wrong. Please try again.: the submission didn't go through. Ask them to try again.
- Your latest edits don't show on the live form: click Save Changes in the builder.
Limitations & considerations
- Only the Admin can open the Web Forms pages. Sales Managers and Sales Reps who open a form link inside Pippify see "You don't have access to this page". Your published form's public link works for everyone.
- Cancel and the back arrow leave the builder without saving.
- Include an Email field so the lead has an email address. Without one, Pippin has no address to reply to.
- A Phone answer is saved as the lead's SMS number only when it starts with + and a country code.
- The lead is named from the first-name and last-name fields. Without them, it is called "Web Form Submission".
- Each submission creates a lead, scores it and assigns it to a team member. Pippin then answers the lead by email, following your automation level.
