Summary
Overview: Disconnect Gmail to stop Pippin from reading and sending email from that account. Reconnect it, or connect a different Gmail account, from the same card. When Google stops accepting your Gmail connection, Pippify tells the Admin and shows a Reconnect Gmail button to fix it.
Prerequisites:
- You are signed in as the workspace Admin.
- To reconnect, you can sign in to the Gmail account and your browser allows pop-ups for Pippify.
Step-by-Step Instructions
Step 1: Disconnect Gmail
- In the sidebar, go to Settings › Channels.
- Click the Email tile. On the Email card below the tiles, find your connected address.
- Click Disconnect. A window titled Disconnect Gmail? asks you to confirm. It explains that Pippin stops reading and sending email from your address, and that email follow-up sequences pause until you reconnect.
- Click Disconnect to confirm, or Cancel to keep the connection.
- The badge changes to Not connected and the Connect Gmail button appears. If your workspace is offered Zoho Mail, Connect Zoho Mail appears beside it, so you can switch to a Zoho Mail inbox. See How to Connect Zoho Mail.
Step 2: Reconnect Gmail (or connect a different account)
- On the Email card (the Email tile in Settings › Channels), click Connect Gmail.
- In the Google pop-up, choose the Gmail account you want Pippin to use and allow access. Pippify asks Google only to read and send email.
- Wait for the pop-up to close. The Email card shows Connected with the address you chose.
Step 3: Fix a Gmail connection that stopped working
Google can stop accepting your Gmail connection, for example after a password change or when access to Pippify is removed. When Pippify notices, you see:
- A red bar at the top of every page (Admin only): Gmail is disconnected. Emails from your address are not going out and new emails are not coming in. Follow-up sequences are paused until you reconnect. It has a Reconnect link.
- A bell notification (Admin only): "Gmail (your address) is disconnected — emails are not going out. Reconnect it in Settings → Channels." Click it to open Settings › Channels. Pippify also emails the Admin.
- On the Email tile and card: a red Reconnect needed badge, Google stopped accepting this connection under your address, and a red box that starts Gmail is disconnected for your address.
To fix it:
- Go to Settings › Channels (or click Reconnect in the red bar) and open the Email tile.
- In the red box on the Email card, click Reconnect Gmail.
- In the Google pop-up, sign in to the same Gmail account and allow access.
- When the pop-up closes, the badge changes back to Connected and the red bar goes away.
Reconnect with Reconnect Gmail rather than Disconnect. When you reconnect the same account this way, Pippin picks up the emails that arrived while the connection was down, and paused follow-up sequences start again on their own.
Verify It Worked
Success criteria:
- After disconnecting: the Email tile and card show Not connected, and the Ignored senders card is hidden.
- After reconnecting: the Email card shows Connected with the right address, and a test email sent to that inbox appears as a new lead in the Inbox.
- After fixing a stopped connection: the Reconnect needed badge and the red bar at the top of the page are gone.
Troubleshooting
Common errors
- "Disconnect your current email inbox first.": Zoho Mail is connected to this workspace, and a workspace uses one email inbox at a time. Fix: disconnect Zoho Mail on the Email card first.
- "Something went wrong connecting Gmail. Please try again.": the reconnect failed. A common cause is that the Gmail address is connected to another Pippify workspace. Fix: disconnect it there first, or choose another account.
- "Could not disconnect Gmail.": the disconnect didn't go through. Fix: try again.
- "Your browser blocked the sign-in popup. Please allow popups for this site and try again.": allow pop-ups for Pippify, then click Connect Gmail (or Reconnect Gmail) again.
- "Gmail authentication has expired. Please reconnect your Gmail channel in Settings → Channels." or "Gmail credentials are invalid. Please reconnect your Gmail channel in Settings → Channels.": Google no longer accepts the connection. Fix: click Reconnect Gmail as in Step 3.
Limitations & considerations
- While Gmail needs a reconnect, Pippin can't send or receive email, and conversations can show "No automatic reply was sent because the email inbox connection has expired or was revoked; reconnect it in Settings → Channels." Only the Admin sees the red bar and the bell notification, because only the Admin can open Settings › Channels.
- While Gmail is disconnected, Pippin can't receive new emails or send email replies. Conversations show "No automatic reply was sent because no email account is connected."
- While Gmail is disconnected, you can't create a new web form.
- Your ignored senders list is kept. It shows again when Gmail is connected.
- Disconnecting frees the Gmail address, so it can then be connected to another workspace.
- Connections made before 10/12/2026 keep working. You don't need to reconnect them.
