Summary
Overview: You can change a quote's text, options, email subject or internal notes before it is sent. A catalog quote is saved when you click Save Draft. A costed quote saves itself as you work.
Prerequisites:
- The quote has not been sent yet.
Step-by-Step Instructions
Step 1: Open the quote
- Click Quotes in the left menu and click the quote's row (or its eye icon).
- Or open the lead, click the Quotes tab and click the eye icon.
- Or, for a quote waiting for approval, click Open quote (or Open costing) on its card in the Review Queue.
Step 2: Edit a catalog quote
- Change the text in the document. Type / for headings, lists, a table or a divider; select text to format it.
- If the quote has Options, change an option's name, Per person rate or Pax. Select Headline on the option whose group total should be the quote total. Click the × to remove an option (a quote keeps at least one).
- Every option needs a name, a per-person rate above zero and a whole headcount above zero, or Pippify shows "Every option needs a name, a per-person rate above zero and a whole headcount above zero before you save."
- Removing an option doesn't remove its section from the document. Edit the document text too.
- Click Save Draft. Pippify shows "Draft saved successfully" and shows the totals it stored.
- To drop your changes, click Discard, then Discard changes. The quote stays as it was last saved.
Step 3: Edit a costed quote
- Change the costing in the Costing view. Each change saves on its own; the chip in the header shows Saving…, then Saved.
- Every change to the costing rebuilds the client document.
- To change the wording of the client document, click Document, then Edit the text. Make your changes and click Save. A hand edit is kept only until the costing changes again.
- Add notes for your team under Internal notes in the side pane and click Save notes. These are never shown to the client. If the side pane is hidden, click the Show details icon in the header.
Step 4: Change the email subject
- Click Actions › Edit Subject.
- Type a subject and click Save. Leave it empty to reply in the lead's own email thread.
Step 5: Let Pippin redraft it
- Click Actions › Regenerate with AI, then Yes, Regenerate.
- For a catalog quote, Pippin drafts a new quote and Pippify opens it. The old quote stays in the lead's Quotes tab.
- For a costed quote, Pippin drafts the programs, days and lines again from the conversation. Costs typed on lines whose text changes are lost. If this version was already sent, Pippin opens a new version instead. Regenerate with AI isn't offered on an older version or on a services program.
Verify It Worked
Success criteria:
- After a reload, the quote shows your changes.
- For a costed quote, the header chip shows Saved.
Troubleshooting
Common errors
- "Failed to save draft. Please try again.": Fix: try again.
- "This quote has already been sent and can't be edited. Regenerate it to make a new one.": the quote was sent (perhaps by a teammate) while you had it open. Fix: reload the page. To change the offer, use Actions › Regenerate with AI.
- "This quote is being sent right now, so it can't be edited.": someone is sending the quote at this moment. Fix: wait, then reload the page.
- "This version was sent; open a new version to change it" or "This quote is being sent or was already approved, so its costing can no longer change": the costed quote is locked. Fix: open a new version (see How to Make a New Version of a Costed Quote).
- Could not save in the header of a costed quote: Fix: click (retry).
- "The document was re-rendered from the costing while you were editing. Cancel and open the editor again.": the costing changed while you edited the text. Fix: click Cancel and start the edit again.
- "Could not regenerate the costing.": Pippin couldn't redraft the costed quote. Fix: try again later.
Limitations & considerations
- Edit quotes before you send them. A sent costed quote is locked; to change it, open a new version.
- A sent catalog quote opens read-only. The page says Sent on and the date (or This quote was sent.), then A sent quote can't be edited. Use Regenerate with AI to make a new one. Save Draft, Discard, Approve & Send and Actions › Edit Subject are gone. Regenerate with AI and Export as still work.
- A Sales Rep can only open quotes for leads assigned to them. Any other quote opens "Quote not found. It may have been deleted, or it is on a lead that is not assigned to you." with a Back to Quotes button.
