Summary
Overview: The Inbox lists your leads' conversations, newest first. Use search, the score chips, Needs review and the Open / Archived switch to find the conversation you want.
Prerequisites:
- You can open the Inbox. Every role sees every conversation in the Inbox, including Sales Reps.
Step-by-Step Instructions
Step 1: Open the Inbox
- In the left menu, click Inbox.
- The number next to the Inbox title is how many conversations the list is showing.
Step 2: Search
- Type in Search leads….
- The list updates as you type. Search matches the lead's name, company and email address, and the text of their messages.
- Clear the box to see all conversations again.
Step 3: Filter by score or review
- Click Hot, Warm or Cold to show only leads with that score. Click the same chip again to turn it off.
- Click Needs review to show only leads Pippin held for review.
- Chips work together with search. For example, search "Cebu" and click Hot to see hot leads that mention Cebu.
Step 4: Switch between open and archived conversations
- Click Open to see active conversations (the default).
- Click Archived to see archived leads. A number on Archived shows how many archived leads have sent a new message you haven't opened.
Step 5: Change the order or refresh
- Click the sort button next to the title to switch between newest first and oldest first. Point at it to see the current order.
- Click Refresh to reload the list with your current search and filters.
Step 6: Read the list
Each row shows:
- The lead's name, company and how long ago the latest message was sent or received.
- A preview of the latest message.
- The score (Hot, Warm or Cold) and the channel (for example Email, SMS, WhatsApp).
- Needs review when Pippin held the lead, a follow-up sequence chip when the lead is on a sequence, and a badge such as Unsubscribed, Follow-ups paused or No follow-ups when the lead asked you to stop.
- A dot on the right when there are new messages you haven't opened. Opening the conversation clears it.
Step 7: Open a lead from somewhere else
- From a notification about a new message, an undelivered SMS or an opted-out lead writing in: click it in the bell menu.
- From Pippify Coach: click a lead link in Coach's answer.
- From the conversation, click Show lead details, then View Full Lead to open the lead's page.
Verify It Worked
Success criteria:
- The conversation you want appears in the list and opens when you click it.
- Your search, chips and Open/Archived choice stay in place when you leave the Inbox and come back.
Troubleshooting
Common errors
- "No leads found.": nothing matches your search and filters. Fix: clear the search box and turn off the chips.
- "No archived leads.": there are no archived leads that match. Fix: click Open.
Limitations & considerations
- The list shows up to 30 conversations for your current search, filters and order. To find a conversation that isn't shown, search for it.
- Switching between Open and Archived closes the conversation you had open.
- On narrower screens, the lead details open as a side panel; click Close lead details to close it. On a phone, use the back arrow to return to the list.
- The Leads page has its own search and filters. See How to Use the Leads Table, Board and Filters.
