Summary

Overview: Invite colleagues to your workspace as a Sales Manager or Sales Rep. Pippify emails them a link to join.

Prerequisites:

  • You are the workspace Admin.
  • Your workspace is on the free trial or an active plan (not read-only).
  • You have a free user seat. The Starter plan limits the number of users; Settings › Billing shows each plan's limit.

Step-by-Step Instructions

Step 1: Open the Users page

  1. In the sidebar, click Settings, then Users.
  2. Or, on the Dashboard, click Invite team members in the Complete your setup checklist.
  3. The line under the Users title shows how many user seats are in use. On a plan with a user limit, it reads "[N] of [N] seats used"; otherwise it reads "[N] seats in use". Active members and invitations that haven't expired count as seats.

Step 2: Send the invitation

  1. Click Invite member at the top of the page. If you are the only person in the workspace, you can also click Invite member under You're the only one here.
  2. The Invite team member window opens.
  3. In Email Address, type your colleague's email.
  4. In Role, choose Sales Manager or Sales Rep. Sales Rep is selected by default.
  5. Click Send Invite. To close the window without sending, click Cancel.
  6. A message confirms "Invitation sent to" followed by the email address.

Step 3: Tell your colleague what to expect

  1. Your colleague gets an email with a link to join your workspace.
  2. They open the link and either create a password or sign in with their existing Pippify account.
  3. The invitation expires 1 hour after you send it. If it expires, resend it.

Verify It Worked

Success criteria:

  • The email shows under Pending invitations with its Role and Expires time.
  • The seat line under the Users title counts one more seat.
  • After your colleague joins, they move to the Members table with the status Active.

Troubleshooting

Common errors

  • "This email address is already a member of this workspace." in the Invite team member window: the person already joined. Fix: find them in the Members table.
  • "This user is suspended. Reactivate them from the Team page instead of re-inviting.": the person is suspended in this workspace. Fix: on Settings › Users, click Reactivate in their row instead of inviting them again.
  • "Your Pippify subscription is inactive. Reactivate it under Settings > Billing to send messages, quotes and booking links.": the workspace is read-only. Fix: subscribe under Settings › Billing.
  • "Failed to send invite. Please try again.": the invitation didn't go through and Pippify gave no other reason. Fix: try again.
  • Invite member is faded with a lock and "Your Starter plan includes …": all user seats on the Starter plan are taken. Pending invitations that haven't expired count as seats. Fix: cancel an unused invitation, suspend a member, or upgrade under Settings › Billing.
  • Invite member is faded with "Your subscription is inactive. Reactivate it under Settings > Billing.": the workspace is read-only. The same sentence shows as a notice at the top of the Users page. Fix: subscribe under Settings › Billing.
  • The invitation email didn't arrive: ask your colleague to check Spam. Then use Resend in Pending invitations.

Limitations & considerations

  • You can invite people as Sales Manager or Sales Rep only. To give someone the Admin role, invite them first, then transfer the Admin role.
  • Sending a new invitation to the same email replaces the earlier one. Only the newest link works.
  • Pippify Coach can't send invitations. It points you to Settings › Users.
