How to Make a New Version of a Costed Quote

Summary

Overview: Once a version of a costed quote is sent (or logged as sent), it is locked. To change the offer, open a new version. It starts as a copy of the sent version, gets its own quote and waits for approval like any new quote.

Prerequisites:

  • The current version of the costed quote has been sent or logged as sent.
  • Your workspace uses Costed quoting.
  • No other quote for this lead is waiting for review.

Step-by-Step Instructions

Step 1: Open the sent version

  1. Open the costed quote from the Quotes page or the lead's Quotes tab.
  2. A banner reads This version was sent on [date]. Open a new version to change it. For a logged quote, it reads, for example, Logged as sent on WhatsApp on 9 Jul 2026. Open a new version to change it.

Step 2: Open a new version

  1. In the version strip at the top, click Open a new version.
  2. Pippify opens the new version, named REV 1 for the first new version, REV 2 for the next, and so on.
  3. The new version is a copy of the sent one and saves as you edit.
  4. To rename it, click its name in the version strip and type (up to 40 characters).

Step 3: Make your changes and send

  1. Change the costing (see How to Build a Costing and How to Price a Costing).
  2. Fix any checks, then click Approve & Send.

Step 4: Or let Pippin redraft it

  1. On the sent version, click Actions › Regenerate with AI, then Yes, Regenerate.
  2. Pippin drafts the programs, days and lines again from the conversation and opens them as a new version. The sent version is left untouched.

Step 5: Move between versions

  1. Each version appears as a chip in the version strip with draft or sent [date].
  2. Click a chip to open that version.

Verify It Worked

Success criteria:

  • The version strip shows the new version as draft.
  • On the Quotes page, the older version's row shows Replaced by REV 1 (or the new version's name).
  • The new version waits in the Review Queue.

Troubleshooting

Common errors

  • "The current version is still a draft; edit it or send it first": the latest version hasn't been sent yet. Fix: edit that draft instead.
  • "A quote is already pending for this lead": another quote for this lead is waiting for review. Fix: send or reject it first.
  • "Another version was opened at the same time": someone else opened a version. Fix: reload and use that version.
  • "Could not open a new version.": Fix: try again.

Limitations & considerations

  • Open a new version appears only on the latest version, and only while your workspace uses Costed quoting.
  • Sent versions can't be changed or deleted.
