Summary
Overview: Close a lead when the deal is done or gone. Marking a lead Won or Lost tells Pippin the conversation is over and ends any follow-ups.
Prerequisites:
- You can open the lead. Sales Reps can open the leads assigned to them from the Leads page.
How Pippin Decides
- Pippin does not reply to a lead marked Won or Lost. If the lead writes in again, the conversation shows "No automatic reply was sent because this lead is marked won or lost."
- Marking a lead Won or Lost ends its follow-up sequence, and a Won or Lost lead can't start a new one.
- You can still reply to the lead yourself from the Inbox.
- When you mark a lead Won or Lost, Pippin reads the lead's latest message again for any attribute that has Detect on close switched on in AI Studio.
- Pippin can also mark a lead Lost on its own, but only when the customer clearly says no: they are not interested, chose someone else, or asked you to stop. A customer who only puts things off ("not now", "maybe later") is not marked Lost.
Limits
- Won and Lost are not in the Status list of More Actions › Change status. Use the steps below.
- If you connected Bigin by Zoho or Monday.com, the new stage is sent to your CRM.
- A lost reason is optional and can be up to 500 characters.
Step-by-Step Instructions
Step 1: Mark Won or Lost from the lead's page
- In the left menu, click Leads, then click the lead.
- Click More Actions.
- Click Mark Won or Mark Lost.
- The dialog (Mark lead as Won? or Mark lead as Lost?) asks you to confirm, for example Mark "Ana Cruz" as Lost? This updates the lead's stage.
- For Lost, you can type why in Reason (optional). The counter under the box shows how many of the 500 characters you used.
- Click Mark Won or Mark Lost to confirm. Click Cancel to go back.
- You see "Marked as Won" or "Marked as Lost", and you stay on the lead's page.
Step 2 (alternative): Drag the lead on the Leads board
- On the Leads page, click the Kanban view button.
- Drag the lead's card to the Won or Lost column.
- The same dialog opens. For Lost, you can add a reason. Click Mark Won or Mark Lost to confirm, or Cancel to leave the card where it was.
Step 3: Reopen a closed lead
- Open the lead, click More Actions, then click Change status.
- In Status, choose an open stage, such as Qualified.
- Click Save. Or drag the card out of Won or Lost on the board.
Verify It Worked
Success criteria:
- The progress line on the lead's page highlights Won or Lost.
- The lead appears in the Won or Lost column on the board.
- The Updates tab shows a line such as "<your name> changed status from Qualified to Won".
- If you gave a lost reason, it appears on the Updates tab as an update starting with Lost reason:.
Troubleshooting
Common errors
- "Couldn't update the lead. Please try again.": the change didn't save. On the lead's page the dialog stays open; on the board the card moves back. Fix: try again.
Limitations & considerations
- Reopening a lead doesn't restart its old follow-up sequence. Start one again from the lead's page if you need it.
- Marking a lead Won or Lost doesn't archive it. To move it out of your active lists, archive it too.
