Summary

Overview: Every lead has a page that brings together who they are, what Pippin learned from the conversation, their score, their stage and everything your team did. A shorter version is in the Inbox, next to the conversation.

Prerequisites:

  • You can open the lead. Sales Reps can open the leads assigned to them from the Leads page.

Step-by-Step Instructions

Step 1: Open the lead's page

Choose one way:

  • Click Leads in the left menu, then click the lead.
  • In the Inbox, open the conversation, click Show lead details, then click View Full Lead.
  • Click a "New lead" or "Appointment booked" notification.

Step 2: Read the header

  1. The top shows the lead's name, an Archived badge if archived, the score (Hot, Warm or Cold, or Not scored when the lead has no score yet) and the channel they came in on.
  2. Under the name: the company, when known, and the lead's ID.
  3. The progress line shows the lead's stage, from New through to Won or Lost. Point at a step to see its name. The quote steps appear only when your business type sends quotes.
  4. Use More Actions to act on the lead. It has:
    • Send Quote (or Start a costed quote), for Sales Managers and Admins when your business type sends quotes.
    • Book Meeting, which opens the Appointments tab.
    • Change status, to move the lead to another stage. See How to Edit a Lead or Change Its Stage.
    • Mark Won and Mark Lost. See How to Mark a Lead Won or Lost.
    • Archive lead (or Unarchive lead). On an archived lead, the quote and meeting items are hidden.
  5. If you opened the lead from the Leads list, use the Previous and Next arrows at the top right to move through the list. Click Leads in the trail at the top left to go back to the list.

Step 3: Read the right-hand column

Next to the tabs, three cards stay in view:

  1. Contact: the lead's email address, phone number and WhatsApp number, when known. If there are none, it says No contact details yet. Add an email or phone in Overview › Lead Details.
  2. Owner: who the lead is assigned to, or Unassigned. Admins and Sales Managers can click it to change the owner. See How to Assign, Tag or Export Leads.
  3. Follow-up: the lead's follow-up sequence. You can start or stop one here. See How to Put Leads on a Sequence.

Step 4: Read the Overview tab

  1. Lead Details shows Company, Lead Name, Email and Phone, followed by your Custom Fields. Click the pencil next to a field to change it. See How to Edit a Lead or Change Its Stage.
  2. Qualification Fields shows what Pippin picked up from the conversation, such as travel dates or group size. The fields depend on the attributes set up in AI Studio.
  3. Lead Score shows the score out of 100 and the Routing Decision: Send Quote, Book Meeting, Quote + Meeting or Pending. A lead with no score yet shows Not scored and a dash instead of a number.
  4. When a meeting made the lead Hot, a line under the score says why: Hot because the customer asked for a meeting. or Hot because the customer booked a meeting.
  5. Under the score, each line is ticked when Pippin found a value that meets it. Contact identified and Company identified are listed for information. Scored items show the points they added, for example +20 pts.

Step 5: Read the other tabs

  • Conversations: every message with the lead, grouped by month, with a label such as Email received, AI reply sent or Quote sent. Click Show more ↓ to expand a long message. A Meeting link sent message also shows the booking link the customer received, which you can click. Grey notes mark follow-up sequence events and owner changes, as in the Inbox. This tab is read-only; reply from the Inbox.
  • Quotes: the lead's quotes. This tab appears only when your business type sends quotes. A Sales Rep sees quotes here only for leads assigned to them; on any other lead the tab is empty.
  • Appointments: the lead's booking status: No appointments scheduled, Booking link sent — awaiting confirmation (with the date and channel), or Meeting Confirmed with the meeting details and, when there is a video call link, Join Meeting. Use Send Booking Link or Resend Link to send your booking link to the lead now, and Copy Booking Link to copy it. See How to Send a Booking Link From Appointments.
  • Updates: your team's notes about the lead, plus a line for every stage change. See How to Post Updates on a Lead.

Step 6: Use the lead details in the Inbox

In the Inbox, click Show lead details next to the conversation. The panel shows:

  • A notice if the lead unsubscribed or paused follow-ups.
  • Contact: email, phone and WhatsApp number.
  • Pipeline: stage, and score out of 100.
  • Follow-up: the lead's sequence.
  • AI Routing and Qualification, once Pippin has them.
  • Assignee, Tags and Lead Created. Admins and Sales Managers can change the owner from Assignee.
  • View Full Lead, which opens the lead's page.

Verify It Worked

Success criteria:

  • You can see the lead's contact details, stage, score and conversation in one place.

Troubleshooting

Common errors

  • "No conversations yet" on the Conversations tab: there are no messages with this lead, for example a lead you added yourself without an intro.
  • "No updates yet" on the Updates tab: no one has posted an update or changed the stage.
  • This lead could not be found: the lead was deleted, or the link is wrong. Fix: click Back to Leads.
  • "Couldn't load this lead.": the page didn't load. Fix: click Retry.

Limitations & considerations

  • The score and qualification fields update as Pippin reads new messages.
  • For leads who came in by SMS, WhatsApp, Messenger or chat without giving an email address, no email address is shown.
