Summary

Overview: The Dashboard shows what needs your attention right now, and your lead volume, hot leads, quotes, appointments, response times and lead sources for the date range you choose, compared with the period before.

Prerequisites:

  • A Pippify account in a workspace.

Step-by-Step Instructions

Step 1: Open the Dashboard

  1. In the left menu, click Dashboard.
  2. If you are the Admin and haven't finished setting up, you may also see the Complete your setup checklist at the top. See How to Use the Complete Your Setup Checklist.

Step 2: Choose a date range

  1. Click the date button at the top right. It shows the current range, for example Today (Oct 12 – Today).
  2. Pick a preset: All, Today, Yesterday, Last 7 Days or Current Year.
  3. Or click Custom and pick a start date and an end date on the calendar. You can't pick future dates. The footer shows the Selected period.
  4. Click Apply. Click Cancel to keep the old range.
  5. The Dashboard opens on Today each time you visit it. Days start and end at midnight in your computer's time zone.

Step 3: Check Needs your attention

The Needs your attention box lists what is waiting in your workspace right now, each with a button:

  • <number> replies waiting for review, with <number> waiting over 30 min when some have waited that long. Click Review to open the Review Queue.
  • <number> hot leads waiting for a reply (No reply after 30 min). Click Open Inbox.
  • <number> unread conversations. Click Open Inbox.
  • <number> quotes waiting for approval, when your business type sends quotes. Click Review.

These counts ignore the date range. The box is hidden when nothing is waiting.

Step 4: Read the tiles

Each tile shows a number for the chosen range, the range name under it, and an info icon you can hover over. Under the number, the change against the previous period of the same length shows, for example +3 vs previous period, -2 vs previous period or No change vs previous period. For Today the previous period is the whole of yesterday. All shows no comparison.

Tile What it counts
New Leads New inquiries that arrived in the range. Archived leads are not counted.
Hot Leads Leads that arrived in the range and Pippin scored hot. Archived leads are not counted.
Quotes Sent Quotes sent to clients in the range. Shown only when your business type sends quotes.
Appointments Confirmed bookings scheduled in the range.
Pipeline value The total of open quotes (draft, waiting for approval, sent, viewed) created in the range, per currency. The tile shows the currency code before the amount, and any other currencies under it, each starting with +. Shown only when your business type sends quotes.

Step 5: Read Leads over time

  1. The Leads over time chart shows New leads and Hot leads for the range.
  2. The caption says how the chart is grouped: By hour for Today and Yesterday, By day for Last 7 Days, and By month for Current Year and All. A Custom range is grouped by hour, day or month depending on its length.
  3. Hover over the chart to see the numbers for that hour, day or month. If there were no leads, it shows "No leads in this period."

Step 6: Read the response times

  1. The Avg. Response Time card (AI reply ready vs. human reply sent) shows two numbers side by side:
    • Pippify: the average time from a customer's message to Pippin's reply being ready: when Pippin sent it, or, under Review every reply, when its draft was ready for your approval. Target: under 60s.
    • Human: the average time from a customer's message to a person's reply: approving a reply, quote or booking link in the Review Queue, or replying from the Inbox. Target: under 1 hour.
  2. Each number shows Within target or Over target, and how many replies it is based on (for example 12 replies).
  3. Only the first reply to each customer message counts. Follow-up sequence messages, phone calls and archived leads are not counted.
  4. When there is nothing to measure in the range, the number shows — and No data yet.

Step 7: Read Leads by Source

Leads by Source (Breakdown by channel) is a donut chart of the leads that arrived in the range, by channel, with the Total in the middle. Hover over a slice to see the number and percentage. If there were no leads, it shows "No leads in this period."

Step 8: Open a report

  1. Sales Managers and Admins can click View on a tile or card to open its full report with the same date preset:
    • New Leads › New Leads report
    • Hot Leads › Hot Leads report
    • Quotes Sent › Quotes Sent report
    • Appointments › Appointments Booked report
    • Avg. Response Time › Avg. Response Time report
    • Leads by Source › Leads by Source report
  2. Pipeline value has no View button.
  3. The report opens with the same date range you picked on the Dashboard, including Custom dates.

Verify It Worked

Success criteria:

  • The date button shows the range you picked, and every tile shows the same range under its number.
  • The numbers and the Leads over time chart change when you change the range.

Troubleshooting

Common errors

  • "Could not load the dashboard.": the Dashboard didn't load. Fix: click Retry.
  • "No leads in this period.": no leads arrived in the range. Fix: choose a longer range, such as Last 7 Days.

Limitations & considerations

  • Dashboard numbers cover the whole workspace, for every role.
  • The Dashboard refreshes every few minutes while the page is open. While a new range loads, the old numbers stay on screen.
  • A tile and its report can count slightly differently. For example, the Appointments tile counts confirmed bookings only, while the report lists every appointment.
  • Appointment Setting workspaces (B2B - Appointment Setting) don't send quotes, so Quotes Sent, Pipeline value and quotes waiting for approval are hidden.
