Summary
Overview: Each sequence has a View leads page that lists every lead who has been on it: when they started, which step they reached, whether the sequence is still running and, if it ended, why. A lead's own conversation and row also show where they are.
Prerequisites:
- At least one sequence exists. See How to Create a Follow-Up Sequence.
Step-by-Step Instructions
Step 1: Open a sequence's leads
- In the left menu, click Sequences.
- On the sequence's card, click View leads. The number in brackets, for example View leads (4), is how many leads are on it right now.
- The page shows the sequence name, with a Default label for the default sequence and Disabled when it is turned off. A turned-off sequence also shows This sequence is switched off. Switch it on in Sequences to add leads. Click Sequences at the top to go back.
Step 2: Filter the list
Use the chips above the list:
- Active: leads on the sequence now (running or paused). This is the default view.
- Ended: leads whose sequence has finished or stopped.
- All: everyone.
Next to the chips, a count shows how many runs match, for example 4 active, 3 ended or 7 total. A lead who went through the sequence twice appears twice. The page shows 20 rows at a time. Use ‹ Prev and Next › to move between pages.
Step 3: Read each row
- Lead: click the name to open the lead.
- Started: when the sequence started for this lead.
- Step: Step 2 of 5 while running, All 5 sent while the sequence waits for a reply after the last step, or Reached step 3 of 5 after it ended.
- Status: see the table below.
- Next touch: the date and time of the next message, Paused, Waiting on Review Queue when a message is waiting for approval, or Waiting for a reply until a date and time after the last step.
| Status | What it means |
|---|---|
| Active | The sequence is running, or every step was sent and it is waiting for a reply before it ends. |
| Paused | Someone took over the conversation (Pause AI), your subscription is inactive, or your email inbox (Gmail or Zoho Mail) needs to be reconnected. It continues when the AI is resumed, or by itself once the email inbox is reconnected. |
| Finished — no reply | Every step was sent and the lead didn't reply within the wait after the last step. |
| Stopped — lead replied | The lead wrote back. |
| Stopped — meeting booked | The lead booked a meeting. |
| Stopped — opted out | The lead unsubscribed. |
| Stopped — lead asked to pause | The lead chose to pause or stop follow-ups from the link in a follow-up email. |
| Stopped — lead won or lost | The lead was marked won or lost. |
| Stopped by a rep | Someone clicked Stop & Remove, replied by hand from the Inbox, or archived the lead. |
| Stopped — error | A message could not be sent. The lead's conversation says why. |
Step 4: Check one lead
- Open the lead in the Inbox.
- Look at the Follow-up section in the lead details. It shows the sequence, the step and the next message, for example Hot lead blitz · Step 2 of 3 · next touch in 2 days, waiting on Review Queue, or after the last step Hot lead blitz · All 3 steps sent · waiting for a reply until a date.
- Scroll the conversation. Grey notes mark each change, for example:
- Follow-up sequence started
- Follow-up 2 held — waiting on a quote in the Review Queue
- Follow-up 3 skipped — … with the reason
- All 3 follow-ups sent — waiting 2 days for a reply before marking the lead lost (or before ending the sequence)
- Follow-up sequence "Hot lead blitz" ended — no response after 3 touches
- Follow-up sequence ended — the lead replied
- Follow-up sequence ended — stopped by and the name of the teammate who stopped it (by clicking Stop & Remove, replying by hand, archiving the lead or deleting the sequence). Older notes, or a teammate who can't be named, say stopped by a rep.
- Follow-up sequence paused — … when your email inbox needs to be reconnected, and Follow-up sequence resumed — the email inbox is connected again after the Admin reconnects it
- Follow-up sequence stopped — no email inbox is connected. Connect one in Settings → Channels
The same notes also appear on the lead page's Conversations tab.
In the Inbox list, the Leads table and the board, a lead on a sequence has a chip with the sequence name and step, for example Hot lead blitz · 2/3, Hot lead blitz · 3/3 · waiting after the last step, or Paused. Hover over it for details.
Verify It Worked
Success criteria:
- You can find the lead on the sequence's View leads page with the right filter.
- The Status and the notes in the lead's conversation agree on why the sequence ended.
Troubleshooting
Common errors
- "No leads in this sequence yet.": no lead matches the filter. Fix: try All.
- "This sequence could not be loaded" (the title reads Sequence not found): the sequence may have been deleted. Fix: go back to Sequences and pick another.
- "Couldn't load this sequence's leads.": the list couldn't load. Fix: click Retry.
- A lead shows Stopped — error with a channel note: a channel was disconnected. Fix: an Admin reconnects the channel under Settings › Channels, then start the sequence again for that lead.
- A lead shows Waiting on Review Queue: a message or the lead's quote is waiting for approval. Fix: approve or reject it in the Review Queue.
Limitations & considerations
- Sales Reps see only leads assigned to them on this page and in the View leads count.
- A step that can't be delivered is skipped and counted as reached, not as sent.
