Summary
Overview: The Appointments page shows the meetings your leads booked through your Cal.com or TidyCal booking page, on a calendar, with the booking links waiting for you to send beside it. Each lead's page also has an Appointments tab that shows that lead's booking status.
Prerequisites:
- An Admin has connected Cal.com or TidyCal under Settings › Connectors. Without a connected calendar, no bookings appear.
Step-by-Step Instructions
Step 1: Open the Appointments calendar
- In the left menu, click Appointments.
- The calendar opens on the current month.
- Use the arrows to move back or forward, and Today to return to the current date.
- Switch views with Month, Week or Day.
On a wide screen, the Booking links to send panel sits to the right of the calendar. On a narrow screen, it shows above the calendar. See How to Send a Booking Link From Appointments.
Step 2: Read the three numbers
Above the calendar, three cards summarise your bookings:
- Confirmed: confirmed bookings in the period the calendar shows. The line under the number names that period, for example the month.
- Cancelled: cancelled bookings in the same period.
- To send: booking links Pippin drafted that are waiting for you to send (Waiting for you).
When you move the calendar to another month, week or day, Confirmed and Cancelled change to count that period.
Step 3: Open a booking
- Click a booking on the calendar. Confirmed bookings show the lead's name. Cancelled ones are grey, struck through, and end with (Cancelled).
- A window opens, titled Confirmed booking or Cancelled booking, with a matching Confirmed or Cancelled label. It shows:
- the lead's name and email
- the date
- the start and end time
- the length in minutes and the booking type
- Click Close.
In Month view, a day shows up to three bookings. Click the "+ more" link on a busy day to see the rest.
Step 4: See one lead's appointment
- Open the lead (from Leads, or click the lead's name in the Inbox).
- Click the Appointments tab. It shows one of three states:
- No appointments scheduled: nothing is booked and no booking link has gone out yet. You can click Send Booking Link or Copy Booking Link.
- Booking link sent — awaiting confirmation: a booking link went out on the date shown (Sent … with the channel, for example via WhatsApp). This includes links Pippin sent on its own under Full auto. The lead hasn't booked yet. You can click Resend Link or Copy Booking Link.
- Meeting Confirmed: the lead booked. You see the Date, Time, Duration, Platform and Attendees. When the booking has a video call link, click Join Meeting to open it.
For the Send Booking Link, Resend Link and Copy Booking Link buttons, see How to Send a Booking Link From Appointments.
Step 5: Get told when a lead books
When a lead books, the notification bell shows Appointment Booked. Click it to open that lead's Appointments tab.
Verify It Worked
Success criteria:
- Bookings from your Cal.com or TidyCal account appear on the calendar.
- The Confirmed and Cancelled numbers match what you see on the calendar for the period shown.
- A lead who booked shows Meeting Confirmed on their Appointments tab.
Troubleshooting
Common errors
- "Your calendar is not connected, so no bookings will appear.": Fix: click Connect your calendar. An Admin connects Cal.com or TidyCal.
- "Cal.com calendar data is temporarily unavailable." or "TidyCal calendar data is temporarily unavailable.": your calendar is still connected, but Pippify couldn't load bookings just now. Fix: wait a moment and reload the page. You don't need to reconnect.
- "… is connected but no booking URL is set — leads won't receive a booking link.": Fix: click Add your booking URL and save it.
- "Couldn't load your appointments.": the page couldn't load. Fix: click Retry.
Limitations & considerations
- The calendar shows bookings made through your connected booking page. Meetings you add to your calendar some other way may not appear.
- With TidyCal, the calendar looks back about 30 days.
- To change or cancel a booking, use Cal.com or TidyCal directly.
