How to Set Quote Instructions and Default Currency

Summary

Overview: The Currency and instructions section of the AI Studio Quotes tab holds the currency Pippin falls back to in quotes and extra instructions Pippin follows when it drafts a quote or writes an AI intro for a lead you add yourself. Guidance rules shape conversations; this box is for documents and intros. Changes save automatically.

Prerequisites:

• You are the Admin of the workspace.
• The quote settings show for every business type, but they are used only when your business type sends quotes (Travel Agency or B2B - Closing Deals). The instructions also apply to AI intros in every business type.

How Pippin Decides

1. When Pippin drafts a quote, it uses the currency your knowledge states for the prices it uses. Only when your knowledge names no currency does it use your Default currency. Pippin never converts between currencies.
2. It follows your Quote and intro instructions, along with the guidance rules that apply to the lead's channel and your voice settings.
3. When Pippin writes an AI intro for a lead you add, it follows the same instructions.
4. In a workspace that uses costed quoting, the costing settings' Cost currency and Sell currency start from your Default currency. You can set them separately in the costing settings on the same tab.

Limits

• Default currency offers PHP, USD, SGD, MYR, IDR, THB, VND, AUD, GBP and EUR. New workspaces start on PHP.
• The instructions box holds up to 5,000 characters.
• A quote always waits for a person to approve it before it is sent.

Step-by-Step Instructions

Step 1: Open the Quotes tab

1. In the left menu, go to Settings › AI Studio.
2. Click the Quotes tab. The tab reads "How Pippin prices and words your quotes. Changes save automatically."
3. Find the Currency and instructions section: "The currency and the instructions Pippin uses when it drafts a document."

In a B2B - Appointment Setting workspace, the top of the tab says "In B2B appointment setting mode Pippin does not propose quotes." Your instructions still apply to AI intros.

Step 2: Choose the default currency

Under Default currency, pick your currency from the list. It saves as soon as you pick it.

Step 3: Write your instructions

1. In Quote and intro instructions (optional), type what Pippin should do in every quote and intro. For example: "Always list what the Cebu tour package includes and excludes, and offer a twin-share and a single price."
2. Keep conversation rules (how Pippin chats) in guidance rules instead. The note under the box says: "Applied when Pippin drafts a quote or a manual intro. Guidance rules apply to conversations; this box is for documents."
3. Your text saves a moment after you stop typing. There is no save button.

Step 4: Check that it saved

1. The chip at the top right of the tab shows Saving… while a change is being saved, then Saved.
2. The message "Quote settings saved" appears after each save.
3. You can leave the tab right after typing. A change you just made is still saved.

Step 5 (optional): Ask Pippify Coach

1. Open Pippify Coach and ask, for example, "Set my default currency to USD."
2. Coach shows a Proposed change card. As the Admin, click Apply to save it, or Dismiss.

Step 6 (optional): During the setup wizard

If you run the setup wizard, Pippin reads your website and knowledge and fills in your quoting under Pricing in the setup feed (How Pippin quotes, Currencies, Exchange rate and Validity and terms). Click Change next to an item to set it yourself. The wizard's Currencies item sets the costing currencies (Suppliers charge and Clients pay); it doesn't change your Default currency, which you set on the Quotes tab. Verify It Worked

Success criteria:

• The chip at the top of the Quotes tab shows Saved.
• After you reload the page, Default currency and your instructions show what you saved.
• The next quote Pippin drafts follows your instructions, and uses your currency when your knowledge names none. Check it in the Review Queue or on the Quotes page.

Troubleshooting

Common errors

• Could not save (retry) on the chip, with the message "Could not save. Please try again." (or a message that names the problem): the save didn't go through. Fix: click (retry). Your change is kept and sent again.

Limitations & considerations

• Quote validity and quote terms are on the same Quotes tab, under Validity and terms. See How to Set Quote Validity and Terms.
• Save Basics on the Guidance tab saves only Mission and Voice. It doesn't save quote settings, which save on their own on the Quotes tab.
