Summary

Overview: The Validity and terms section of the AI Studio Quotes tab sets how long a quote Pippin drafts stays valid and the terms added to the end of every quote. The section shows for every business type, but its settings are used only when your business type sends quotes. Changes save automatically.

Prerequisites:

  • You are the Admin of the workspace.
  • Your business type sends quotes (Travel Agency or B2B - Closing Deals). B2B - Appointment Setting workspaces have no quotes.

How Pippin Decides

  1. When Pippin drafts a quote, it sets the valid-until date to today plus your Quote validity days. Pippin never picks this date itself.
  2. If Quote validity is None (book and buy basis), the quote has no valid-until date.
  3. Pippify adds your Quote terms word for word to the end of the quote.
  4. Costed quotes that haven't been sent yet are updated with your new terms.

Limits

  • Quote validity can be None (book and buy basis), 7 days, 14 days, 30 days or Custom (1 to 365 days). New workspaces start at 30 days.
  • Quote terms hold up to 20,000 characters, formatting included.
  • A change that breaks a limit isn't saved until you fix it.

Step-by-Step Instructions

Step 1: Open the Quotes tab

  1. In the left menu, go to Settings › AI Studio.
  2. Click the Quotes tab.
  3. Find the Validity and terms section: "Applied to every quote Pippin drafts."

Step 2: Set the quote validity

  1. Open Quote validity and pick None (book and buy basis), 7 days, 14 days, 30 days or Custom. A preset saves as soon as you pick it.
  2. If you pick Custom, type the number of days in Days (1 to 365). It saves a moment after you stop typing.

Step 3: Write your quote terms

  1. In Quote terms, type or paste the terms you want at the end of every quote: inclusions, exclusions, booking restrictions and remarks.
  2. Use the editor's formatting if you need lists or bold text.
  3. The counter under the box shows how many of the 20,000 characters you have used.
  4. Your terms save a moment after you stop typing. There is no save button.

Step 4: Check that it saved

  1. The chip at the top right of the tab shows Saving…, then Saved.
  2. The message "Quote settings saved" appears after each save.

Step 5 (optional): During the setup wizard

If you run the setup wizard, Pippin looks for your booking terms and shows them with your validity as Validity and terms under Pricing in the setup feed. Click Change to set Quotes valid for (days), tick No fixed validity, or edit the Terms. See How to Complete the Setup Wizard.

Verify It Worked

Success criteria:

  • The chip at the top of the Quotes tab shows Saved.
  • After you reload the page, Quote validity and Quote terms show what you saved.
  • The next quote Pippin drafts ends with your terms and shows a valid-until date that matches your setting.

Troubleshooting

Common errors

  • "Enter a number of days from 1 to 365.": the Days box is empty or out of range. The chip shows Not saved — fix the highlighted field. Fix: enter a whole number from 1 to 365.
  • "The terms are too long (N of 20,000 characters, formatting included). Shorten them to save.": the terms are over the limit. The chip shows Not saved — fix the highlighted field. Fix: shorten them or remove formatting.
  • Could not save (retry) on the chip, with the message "Could not save. Please try again." (or a message that names the problem): the save didn't go through. Fix: click (retry).

Limitations & considerations

  • In a Travel Agency workspace that uses costed quoting, a quote that books services only prints the Terms for services-only quotes instead. See How to Switch to Costed Quoting and Set Costing Defaults.
  • Default currency and Quote and intro instructions are on the same tab. See How to Set Quote Instructions and Default Currency.
