How to Set the Follow-Up Sending Window

Summary

Overview: The follow-up sending window is the time of day when scheduled follow-up messages may go out, in the timezone you choose. A follow-up that comes due outside the window waits for the next opening. Replies to a customer's question are never held back.

Prerequisites:

• You are the Admin of the workspace.

How Pippin Decides

1. When a follow-up step is due, Pippify checks the time in your chosen timezone.
2. If the time is inside the window, the message goes out.
3. If not, the step moves to the start of the next window.
4. The window can run overnight. For example, From 20:00 To 08:00 sends from 8:00 PM through to 8:00 AM the next morning.
5. Replies Pippin writes when a customer messages you are not affected by the window.

Limits

• One window for the whole workspace. It applies to every sequence.
• From and To can't be the same time.
• Until you change it, the window is 08:00 to 20:00, Asia/Manila time.

Step-by-Step Instructions

Step 1: Open the window settings

1. In the left menu, click Sequences.
2. Find the Follow-up sending window card. On a wide screen it is to the right of your sequences; on a narrower screen it is below them.

Step 2: Set the times and timezone

1. In From, enter the time follow-ups may start going out.
2. In To, enter the time they must stop.
3. In Timezone, choose your timezone, for example Asia/Manila.
4. If the window runs past midnight, a note confirms it, for example This window runs overnight: follow-ups send from 20:00 through to 08:00 the next morning.

Step 3: Save

1. Click Save window. The button is active only when you've changed something.
2. A message confirms "Sending window updated."

Verify It Worked

Success criteria:

• After a page reload, the Follow-up sending window card shows your times and timezone.
• On a sequence's View leads page, Next touch times fall inside your window.

Troubleshooting

Common errors

• "Start and end can't be the same time — that would leave no window to send in.": Fix: choose different From and To times.
• "Could not update the sending window.": Fix: try again. If it keeps failing, contact support.
• "Couldn't load the sending window.": the card couldn't load. Fix: click Retry.
• The fields are greyed out and the card says Only client admins can change the sending window.: you are not the Admin. Fix: ask your Admin.

Limitations & considerations

• Pippify checks the window each time a step comes due, so a new window applies to every step from then on, including steps already scheduled.
• Make sure the timezone matches where most of your leads are, so follow-ups don't arrive at night.
