How to Set Up Lead Scoring

Summary
Overview: Pippin scores each lead from 0 to 100 and labels it Hot, Warm or Cold. The score comes from attributes: details Pippin picks out of each message, such as destination, travel dates or budget. An attribute counts toward the score when you give it an Importance.
Prerequisites:
- You are the Admin of the workspace.
- For the best suggestions, add your knowledge files first, so Generate from KB can read them.
How Pippin Decides
- Pippin reads the lead's messages and fills in your enabled attributes, for example Destination: Cebu.
- It scores the lead from 0 to 100 against the enabled attributes that have an Importance. An attribute with a higher importance counts for more.
- It labels the lead Hot or Warm when the score reaches your thresholds, and Cold otherwise.
- A customer who clearly asks for a meeting, or books one, makes the lead Hot whatever its attributes score. See How Pippin Reads and Scores a Lead.
- If no enabled attribute has an Importance, Pippin doesn't score leads: they show Not scored, unless a meeting makes them Hot.
Limits
- Importance is a number from 1 to 100. Leave it empty for an attribute you want to collect but not score.
- A Multiple Choice attribute needs at least 2 values.
- Name can be up to 80 characters and Description up to 500.
Step-by-Step Instructions
Step 1: Open the Attributes tab
- In the left menu, go to Settings › AI Studio.
- Click the Attributes tab. The Lead Scoring strip at the top holds the thresholds and the quick-start tools. Your attributes show as cards below.
Step 2: Start from suggestions (optional)
Choose one of these to add a ready set of scored attributes:
Generate from KB
- Click Generate from KB. The window Generate from Knowledge Base shows Reading your Knowledge Base and business profile… while it works. Pippin starts from the starter pack for your business type and tailors it to your business profile and an even sample of your knowledge documents.
- A line at the top names your documents, for example Based on 3 documents: Cebu Tour Packages 2026, Booking terms, FAQ. With many documents, it names the first few and adds and N more.
- Read each suggested attribute, its importance and the reason for it. Untick any you don't want.
- Check the Proposed thresholds.
- Click Regenerate for a new set, or Apply selected (N) to add the ticked attributes. Applying also sets the proposed thresholds. The message "Added N attributes." appears.
Quick-Start
- Click Quick-Start. The Quick-Start starter pack window opens.
- Click Travel agency, E-commerce, B2B or Real estate. The pack's attributes are added and its thresholds are set. The message "Starter pack added." appears.
- If you already have an attribute with the same name as one in the pack, Pippify skips that one, so nothing is added twice. The message then says what happened, for example "Added 3 attributes; 2 you already had were skipped.", or "Every attribute in this pack is already here. Nothing was added." The pack's thresholds are still set.
- Edit or remove the added attributes as you like.
Step 3: Add an attribute yourself
- Click New attribute.
- In Add Attribute, fill in:
- Name, for example "Budget Range" or "Travel Destination".
- Description: explain what to pick out and give example values. This helps Pippin.
- Value type: Multiple Choice, Free Text or Yes / No.
- Values (Multiple Choice only): type a value, press Enter or click Add. Add at least 2.
- Importance: 1 to 100 to use this attribute for lead scoring. Leave it at Not scored to only collect it.
- Enabled: on to use it.
- Click Add Attribute. The message "Attribute added." appears.
Step 4: Edit, switch off or delete an attribute
- To edit, click its card, make changes, then click Save Changes. The message "Attribute updated." appears.
- To test a saved attribute, open its card and click Preview extraction. Pippin reads a built-in sample travel inquiry with your saved attributes, and the result shows next to the button, or not detected.
- To pause it, turn off the switch on the card.
- To delete, click the bin icon, then Delete in Delete Attribute?. Lead data already collected is kept.
Step 5: Set the thresholds
Set Hot ≥ and Warm ≥ in the Lead Scoring strip and click Save thresholds. See How to Set Hot and Warm Thresholds.
Other ways to set up scoring
- Setup wizard: after you click Continue on the Your knowledge step, Pippin builds your lead scoring for you: a set of scored attributes and your Hot and Warm thresholds, starting from the starter pack for your business type and tailored to your business and files. If it can't read your knowledge, it uses the starter pack as it is. The Lead scoring row in the setup feed shows the attributes and the Hot threshold, with Change in AI Studio after go-live. If your workspace already had attributes, the wizard leaves your scoring as it is.
- Pippify Coach: ask Coach to add or change attributes. Coach shows a Proposed change card. As the Admin, click Apply or Dismiss.
Verify It Worked
Success criteria:
- Scored attributes show a ★ importance N chip on their card.
- New leads show a Hot, Warm or Cold label and a score.
- In Test Pippin, the Event log tab shows Attribute set rows with the values Pippin picked out.
Troubleshooting
Common errors
- "Add at least 2 values": a Multiple Choice attribute has fewer than 2 values. Fix: add more values.
- "The AI service is temporarily unavailable. Please try again in a moment.": generation is busy. Fix: wait and click Try again.
- "Could not generate attributes. Make sure the backend service is running and try again.": generation failed. Fix: click Try again. If it keeps failing, contact support.
- "Preview failed" next to Preview extraction: the test didn't run. Fix: try again.
- "Failed to add attribute.", "Failed to update." or "Failed to apply pack.": the change didn't save. Fix: try again.
- Leads have no score: no enabled attribute has an Importance. Fix: give at least one attribute an importance.
Limitations & considerations
- Attributes without an importance are still collected on the lead but don't change its score.
- Generate from KB uses your business profile when it has no knowledge text to read. It then shows Generated from your business profile — add Knowledge Base documents in AI Studio for sharper attributes. With no documents at all, the line at the top says No documents read yet. Add knowledge in AI Studio for sharper attributes.
- Quick-Start matches attributes by name, ignoring capital letters, when it skips the ones you already have.
