How to Start a Costed Quote

Summary

Overview: A costed quote is priced from a costing: the trip's programs, days, hotels and net costs, plus your markup. Pippin starts costings on its own, and a Sales Manager or Admin can start one for any lead.

Prerequisites:

  • Your business type is Travel Agency.
  • Your workspace uses Costed quoting. An Admin sets this under How Pippin quotes on the Quotes tab of Settings › AI Studio, or with Switch to Costed on the Rates tab.
  • You are a Sales Manager or Admin.
  • The lead is not archived.

How Pippin Decides

  1. With Costed quoting on, Pippin doesn't price quotes from your knowledge base. When a conversation is ready for a quote, it drafts the structure of a costing (programs, days and lines) and fills costs it finds in your Supplier Rates.
  2. The draft waits in the Review Queue as a Quote card marked Costed draft, with Open costing.
  3. Your team finishes the costing, fixes its checks and sends it.

Limits

  • Costed quoting is offered only to Travel Agency workspaces.
  • Only one quote per lead can be waiting for review. If another quote for the lead is pending, you can't start a costed quote.
  • A costed quote always waits for approval before it's sent.

Step-by-Step Instructions

Step 1: Start it from the lead

  1. Open the lead.
  2. Click the Quotes tab, then Start a costed quote. Or click More Actions › Start a costed quote.
  3. Pippify opens the costed quote page with an empty first version, v1.

If the lead already has a draft costing, Pippify opens that one instead of starting another. If the last version was already sent, Pippify opens the next version.

Step 2: Get to know the page

  1. The header shows the client's name and company, the trip dates and travellers, and the quote status (Pending Review).
  2. The version strip shows v1 draft. Click the version name to rename it.
  3. The chip shows Saving… or Saved. Every change saves on its own.
  4. Costing and Document switch between the costing worksheet and the client document.
  5. The Show details icon opens the side pane with Price, Checks, Internal notes and Pricing rules for this version. On narrower screens the pane opens as a drawer.
  6. Actions holds Edit Subject, Regenerate with AI, Re-price from rates and the downloads.

Step 3: Fill in the costing

  1. Add a program with + Add program and choose Day-by-day itinerary or Services only (transfers, vans, a yacht).
  2. Continue with How to Build a Costing.

Verify It Worked

Success criteria:

  • The lead's Quotes tab lists the quote with version v1 and the status Pending Review.
  • The Review Queue shows a Quote card for the lead with Open costing.

Troubleshooting

Common errors

  • "A quote is already pending for this lead": another quote for this lead is waiting for review. Fix: send or reject that quote first.
  • "Costed quoting is not switched on for this workspace.": Fix: an Admin selects Costed under How Pippin quotes on the Quotes tab of Settings › AI Studio.
  • "A costing is already being created for this lead": someone started one at the same moment. Fix: open the lead's Quotes tab and open that quote.
  • "Could not start a costed quote.": Fix: try again.

Limitations & considerations

  • Sales Reps don't see Start a costed quote, but can open and work on costed quotes for leads assigned to them.
  • Archived leads don't show Start a costed quote.
  • You can't delete a costed quote. Reject it in the Review Queue if you don't need it.
