Summary
Overview: Some emails are not sales inquiries: vendor invoices, newsletters, tool notifications. Add those senders to Ignored senders, and their emails never become leads and never appear in your Inbox. You can add a sender in Settings › Channels, or straight from a lead that Pippin held for review in the Inbox.
Prerequisites:
- Your email inbox (Gmail or Zoho Mail) is connected. The Ignored senders card only shows while an email inbox is connected.
- To edit the list in Settings, you are the workspace Admin.
Step-by-Step Instructions
Step 1: Add a sender or domain in Settings
- In the sidebar, go to Settings › Channels and click the Email tile (it opens by default).
- Find the Ignored senders card, under the Email card.
- In the box (billing@vendor.com or vendor.com), type one of these:
- A full email address, such as billing@vendor.com, to ignore that one sender.
- A domain, such as vendor.com, to ignore everyone at that domain, including its subdomains (for example mail.vendor.com).
- Click Add. The entry appears as a chip under the box. It saves right away.
Step 2: Ignore a sender from the Inbox
When Pippin isn't sure an email is a real inquiry, it holds the lead and shows a notice such as Pippin isn't sure this is a real inquiry or Pippin thinks a system sent this, not a person. Any team member can clear it:
- Open the lead in the Inbox.
- In the notice, click Ignore.
- Read This deletes the lead and its conversation.
- Tick Also ignore future emails from (the sender's address).
- Click Confirm ignore. The lead is deleted, and the sender's full address is added to Ignored senders.
To keep the lead instead, click Real inquiry, or click Cancel to go back.
Step 3: Remove a sender from the list
- Go to Settings › Channels, click the Email tile, and find the Ignored senders card.
- Click the × on the chip you want to remove. It saves right away.
Verify It Worked
Success criteria:
- The address or domain shows as a chip on the Ignored senders card.
- A new email from that sender does not create a lead or appear in the Inbox. The change applies to the next email that arrives.
- When the list is empty, the card says No ignored senders. Every inbound email becomes a lead unless it looks automated.
Troubleshooting
Common errors
- "… is already on the list" (the message starts with your entry): you already added it. Nothing to fix.
- "… is a public email provider — ignoring it would drop every lead who writes from a … address. Enter the full email address instead.": you entered a domain like gmail.com or yahoo.com. Fix: enter the sender's full address, such as name@gmail.com.
- "… is a public registry suffix, not a domain …": you entered something like com.ph or co.uk. Fix: enter the organisation's own domain, such as vendor.com.ph.
- "… is not a valid domain — use a full domain such as "vendor.com", or a complete email address": the entry has no dot, like "vendor". Fix: add the full domain.
- "… is not a valid email address": the address is incomplete. Fix: check the spelling.
- "At most 200 ignored senders are allowed": the list is full. Fix: remove entries you no longer need, or use a domain instead of many single addresses.
Limitations & considerations
- This applies to email only. It does not block SMS, WhatsApp, Messenger, web chat or web form leads.
- It only affects emails that arrive after you add the sender. Existing leads stay where they are.
- Ignored mail is not shown anywhere in Pippify, so be careful with domains. A domain silences everyone under it.
- The Also ignore future emails from option only shows when the lead has a real email address. It always adds the full address, never the domain.
- Pippify also skips obvious automated mail on its own (for example no-reply senders and mailing lists), so you don't need to add those.
