Summary

Overview: See how many outcomes your workspace has used this cycle, which leads they came from, and what overage will be invoiced. Pippify also warns you when you reach 80% and 100% of your plan volume.

Prerequisites:

  • You are the workspace Admin to open Settings › Billing.

Step-by-Step Instructions

Step 1: Check this cycle's usage

  1. In the sidebar, click Settings, then Billing.
  2. With the Plan & usage chip selected at the top of the page, find Usage this cycle:
    • The bar and "[N] of [N] plan outcomes used" show your plan volume. The bar changes to a warning colour at 80% and turns red when the plan volume is used up.
    • "[N] paid from packs · [N] pack outcomes left" shows your pack use and balance.
    • When there is overage, a red line shows the overage outcomes this cycle and the amount to be invoiced at cycle end.
    • Cycle [date] to [date] shows the current cycle.

Step 2: See each outcome in Usage history

  1. Click View usage history, or click the Usage history chip.
  2. In Cycle, choose a cycle. The current one is marked (current).
  3. The line above the table shows the plan, pack and overage totals for that cycle.
  4. Each row shows the Date, the Lead (click the name to open the lead), the Trigger (Quote sent or Booking confirmed), and Paid by (Plan, Pack or Overage). Rate shows the price of an overage outcome.
  5. A row named Adjustment by support is a change made by Pippify support, with its reason.
  6. Use Previous and Next to move between pages.

Step 3: Export a cycle

  1. With the Usage history chip selected, choose the cycle.
  2. Click Export CSV. A CSV file of that cycle's outcomes downloads.

Step 4: Check overage invoices

  1. With the Usage history chip selected, scroll to Overage invoices.
  2. Each row shows the Cycle, the number of Outcomes, the Amount, the Status (for example Paid, Open or Failed) and the Date.
  3. Click View invoice to open the invoice from Stripe.

Step 5: Read the usage warnings

  1. At 80% of your plan volume, a banner shows "[N] of [N] outcomes used this cycle." At 100%, a red banner explains how extra outcomes are paid.
  2. The Admin sees Buy a pack or Upgrade on the banner when those are possible. Sales Managers and Sales Reps see Ask your workspace admin to upgrade.
  3. The Admin also gets a bell notification and an email at 80% and 100%, once per cycle.
  4. Close a banner to hide it for the rest of the cycle.

Verify It Worked

Success criteria:

  • Usage this cycle matches the totals under the Usage history chip for the current cycle.

Troubleshooting

Common errors

  • "No billed outcomes in this cycle yet.": no quote was approved and sent, and no booking was confirmed, in this cycle.
  • "No overage invoices.": you haven't gone past your plan volume and packs. Overage is invoiced only when both are used up.
  • "The export failed. Please try again.": the CSV couldn't be downloaded. Fix: try again.

Limitations & considerations

  • Each lead counts once per cycle, even if it gets both a quote and a booking.
  • During the free trial, the meter shows trial outcomes against the trial cap. There is no overage, and no 80% or 100% warning, on the trial.
  • On a workspace billed outside Pippify, the meter shows Unlimited.
