Summary

Overview: Pippify Coach is the assistant built into Pippify. You chat with it to understand how your workspace is set up, get suggested setting changes, find quiet leads, and draft messages for you to send yourself.

Prerequisites:

  • A Pippify account and a workspace.
  • To apply a setting change Coach suggests, you must be the workspace Admin.

How Coach Decides

  1. When you open Coach, it runs a quick check of your workspace and shows what needs attention above the starter cards. The same check is given to Coach as background, so its first answer already knows what is missing.
  2. When you ask about a setting, Coach reads your live settings first. It does not answer setting questions from memory. If a setting is empty, it says it is not set.
  3. When you ask how Pippify works, Coach answers from its built-in product knowledge, not from your knowledge base.
  4. When you ask what your knowledge base says, or ask for a draft that states a price, inclusion, date or policy, Coach searches your knowledge base. If it finds nothing, it says "I couldn't find this in your knowledge base."
  5. When you ask for a change, Coach never changes anything itself. It prepares a Proposed change card that shows the current and new values. A person must click Apply.
  6. If you are not the Admin, Coach explains what would need to change and that an Admin has to make it. You don't get a change card.
  7. For connections that need a login or a secret key (email, SMS, voice, Messenger, Facebook Lead Ads, calendar keys) and for team management, Coach explains the steps and points you to the right settings screen.

Limits

  • Coach never sends messages to your customers, never edits leads, and never applies a change without a person clicking Apply.
  • Only the Admin can apply or dismiss a change. Sales Managers and Sales Reps can ask questions, look up leads and get drafts.
  • Coach cannot connect channels, connect a calendar, upload files, or invite or remove users.
  • Each person has their own Coach conversations. Teammates cannot see yours.
  • A message to Coach can be up to 4,000 characters.

Step-by-Step Instructions

Step 1: Open Coach

  1. In the left menu, click Pippify Coach. It is the first item in the menu.
  2. While you are on Coach, the menu shows only Pippify Coach and Dashboard, plus your Chat history. To go anywhere else, click Dashboard first.

Step 2: Start a conversation

  1. On the welcome screen ("Hi, I'm your Pippify Coach"), read the line under the title:
    • "Checking your setup…" while the check runs.
    • "1 thing needs your attention." or "N things need your attention." when something needs fixing.
    • "Your setup looks good. Ask me anything about it." when nothing urgent was found.
  2. Start in one of three ways:
    • Click a setup check button under the title. Coach sends that question for you.
    • Click one of the five cards: Review my setup, Improve my replies, Chase quiet leads, Fill my knowledge base or How does Pippify work? Each card sends a starter question.
    • Type your own question in the box ("Ask about your setup, or tell me what to change…").
  3. Press Enter to send. Press Shift+Enter for a new line. You can also click the arrow button.

Step 3: Follow the answer

  1. While Coach works, you see what it is doing, for example "Reading your settings…", "Searching your knowledge base…", "Looking for quiet leads…" or "Preparing a change for you to review…".
  2. To stop an answer early, click the stop button. Whatever Coach already wrote stays in the conversation.
  3. Some answers include a card:
    • Proposed change: a setting change waiting for the Admin. See How to Apply or Dismiss a Change Coach Suggests.
    • Quiet leads or Matching leads: click a lead to open its conversation in the Inbox.
    • Draft reply or Re-engagement draft: click Copy to copy the text, or Open in Inbox to open the lead's conversation.

Step 4: Manage your conversations

  1. Your conversations are listed under Chat history in the left menu, newest first. A new conversation is named after your first message.
  2. Click a conversation to reopen it.
  3. Click + (New chat) to start a fresh conversation. It is saved only after you send the first message.
  4. To delete a conversation, hover over it and click × (Delete conversation). There is no confirmation step, so click carefully.
  5. If you don't see Chat history, expand the left menu. The list is hidden while the menu is collapsed.

Verify It Worked

Success criteria:

  • Your question appears in the conversation and Coach's answer appears below it.
  • The conversation appears under Chat history.
  • When you reopen the conversation later, the answer and any cards are still there.

Troubleshooting

Common errors

  • "I couldn't check your setup just now, but you can still ask me anything.": the setup check failed to load. Fix: you can keep chatting. Reload the page later to see the checks.
  • "Couldn't start a conversation just now.": Coach could not create the conversation. Fix: try again in a moment.
  • "Couldn't open that conversation.": the conversation could not load, or it was deleted. Fix: pick another conversation, or click New chat.
  • "Could not reach Pippify Coach." or "The connection dropped mid-answer.": your connection to Pippify was interrupted. Fix: check your internet connection and send the message again.
  • "Coach could not finish that turn.": Coach hit a problem while answering. Fix: send the message again.
  • "Too many requests": you sent many messages in a short time. Fix: wait a minute, then send again.
  • "Streaming is not supported in this browser.": your browser cannot show live answers. Fix: use a current version of Chrome, Edge, Firefox or Safari.

Limitations & considerations

  • The setup check that Coach knows about is taken when the conversation loads. If you just changed a setting, tell Coach, and it will check again.
  • In a long conversation, Coach keeps only the most recent messages in mind. Start a new chat for a new topic.
  • Coach writes its answers in its own words, so answers can vary. Always check a Proposed change card before you click Apply.
