Summary

Overview: The Leads by Source report shows which channels your leads come from, which channel brings the most hot leads, and how often leads from each channel turn into quotes and appointments.

Prerequisites:

  • You are a Sales Manager or the Admin.

Step-by-Step Instructions

Step 1: Open the report

  1. Go to Dashboard.
  2. On the Leads by Source card, click View. The report opens with the same date preset as the Dashboard.

Step 2: Set the date range

  1. Click the date button at the top right, pick a preset or Custom, and click Apply. The range is based on when leads arrived.

Step 3: Read the overview

  1. Best Performing Channel shows the channel that brought the most hot leads in the range (— generating the most hot leads).
  2. Channel Split is a donut chart of leads by channel, with the Total in the middle.
  3. Next to it, a tile for All Leads and one for each channel: Email, SMS, AI Voice, Facebook, Messenger, Web chat, WhatsApp and Form, each with its lead count.
  4. Above the table, the summary shows Total (the number of leads in the table), each channel's count and share, then Hot Lead Rate, Quote Rate and Appointment Rate for all leads in the range.

Step 4: Filter by channel

Use either way:

  1. Click a channel tile. Click it again to show all channels.
  2. Or click Filters, choose a channel under Channel (or All Channels), and close the panel. Click Clear All Filters to reset. The Filters button shows 1 when a channel filter is on.

Step 5: Read the table

Leads are listed newest first. Columns:

  1. Date Received, Contact Name (click to open the lead), Company and Email Address.
  2. Source: the channel.
  3. Priority and Status.
  4. Hot Lead Rate: Yes if the lead is hot.
  5. Quote Rate: Yes if the lead has a quote.
  6. Appointment Rate: Yes if the lead has a confirmed appointment.
  7. Pippify Response Time: time to Pippin's automatic acknowledgement. Over 60 seconds shows in red.
  8. Human Response Time: time to the first approval in the Review Queue. Over 1 hour shows in red.
  9. Benchmark: Within Target or Over Target. It uses the human time when there is one, otherwise Pippin's time.

Step 6: Search and export

  1. Type in Search name, company, email... to filter.
  2. Click Export CSV to download the rows shown. The file is named leads-by-source- plus today's date.
  3. Click a row to open the lead.

Verify It Worked

Success criteria:

  • With no channel filter or search, the channel counts add up to the Total.
  • Clicking a channel tile shows only that channel's leads in the table.

Troubleshooting

Common errors

  • "No leads found for this period.": no leads arrived in the range, or none match your filter or search. Fix: widen the date range, clear the channel filter, or clear the search.

Limitations & considerations

  • The donut, the channel tiles, the per-channel counts and the rates cover all leads in the range. The channel filter and search change only the table and the Total above it.
  • The table shows up to 100 leads at a time. Narrow the range, filter or search to find others.
  • Best Performing Channel appears only when at least one hot lead arrived in the range.
  • Archived leads are not included.
