Summary
Overview: The Leads page lists your leads as a table or as a board of stages. Use search, the score and Show chips and Filters to narrow the list, then open a lead to work on it.
Prerequisites:
- None. Admins and Sales Managers see every lead. Sales Reps see only the leads assigned to them.
Step-by-Step Instructions
Step 1: Open the Leads page
- In the left menu, click Leads.
- Pippify remembers whether you last used the table or the board.
Step 2: Use the table
- Click the Table view button at the top right.
- The table shows Name (with the company under it), Lead ID, Channel, Score, Stage, Owner, Last activity, Created and Actions. On narrower screens, Lead ID and Created are hidden; both are on the lead's page.
- Score shows Hot, Warm or Cold, or Not scored for a lead that has no score yet.
- Lead ID is the lead's unique ID. Click it to select it for copying, for example to send to support. Clicking it doesn't open the lead.
- Stage can also show an Archived badge and a chip for the lead's follow-up sequence.
- Owner shows the teammate the lead is assigned to, or Unassigned.
- Point at a Last activity time to see the exact date and time.
- To sort, click the Name, Score, Last activity or Created header. An arrow shows the sorted column and its direction. Click the same header again to reverse the order. By default the most recent activity is first.
- Click a row, or the eye button in the Actions column, to open the lead's page.
- Above the table, a line such as Showing 1 to 50 of 120 leads tells you which leads you are looking at and how many match.
- The table shows 50 leads a page. When there are more, use ‹ Prev and Next › under the table. The page number shows between them, for example 2 / 3. If you reload the page or go back to it, you return to the same page and sort.
Step 3: Use the board
- Click the Kanban view button at the top right.
- Leads are grouped into columns: New, Qualifying, Quote Sent, Meeting Booked, In Follow-Up, Won and Lost. Each column shows how many leads it has.
- Each card shows the channel, the name, Owner: (when the lead has one), the company, any sequence chip, the score and the last activity. Hot, warm and cold leads have red, yellow and blue cards.
- Click a card to open the lead's page.
- Drag a card to another column to change the lead's stage. When you drop a card on Won or Lost, Pippify asks you to confirm first. See How to Mark a Lead Won or Lost.
Step 4: Search
- Type in Search leads by name, email or ID... above the list. The list updates as you type.
- Search matches the lead's name, company and email, the text of their messages, and the lead ID (the whole ID, or at least 6 characters of it). It works the same on the table and the board.
Step 5: Narrow the list with the chips
- Next to the search box, click a score chip: All, Hot, Warm or Cold.
- In the table, click Active or Archived to choose which leads to show. The board shows active leads only, so these chips are hidden there.
Step 6: Use the Filters panel
- Click Filters. A number on the button shows how many of the panel's filters are on.
- Choose any of these:
- Channel: All, Email, SMS, Facebook, Messenger, Web chat, WhatsApp or Forms.
- Stage: All stages, or one stage: New, Qualified, Reply Sent, Quote Requested, Quote Drafted, Quote Sent, Quote Viewed, Quote Accepted, Meeting Requested, Meeting Link Sent, Meeting Booked, Won or Lost. The quote stages appear only when your business type sends quotes.
- Owner (Admins and Sales Managers only): All owners, Unassigned, or a teammate. Each teammate shows their role, and your own name shows (you).
- The list updates straight away and goes back to page 1. Close the panel with the X.
- To remove the panel's filters, click Clear All Filters. This also sets Show back to Active. The score chips and the search box stay as they are.
Step 7: Act on leads from the list
- Add a lead: click Add Lead. See How to Add a Lead Yourself.
- Assign, tag, archive or export several leads: tick them in the table. Only Admins and Sales Managers see Assign. See How to Assign, Tag or Export Leads.
- Archive or delete one lead: use the buttons in the Actions column or on the card.
Verify It Worked
Success criteria:
- The list shows only the leads that match your search, chips and filters.
- Opening a lead from the list shows Previous and Next arrows on the lead's page, so you can move through the same list.
Troubleshooting
Common errors
- "No leads match these filters.": nothing matches. Fix: click Clear filters under the message. It clears the search, the chips and the panel's filters.
- "No archived leads.": you're viewing Archived and nothing is archived. Fix: click Clear filters, or click Active.
- No leads yet: your workspace has no leads. Fix: click Add Lead, or connect a channel so leads can reach you.
- "Couldn't load your leads." or "Couldn't load the board.": the list didn't load. Fix: click Retry.
- A Sales Rep sees no leads: the Leads page shows a Sales Rep only the leads assigned to them. Fix: use the Inbox, which shows every conversation.
Limitations & considerations
- The board shows active leads only. Switching to the board turns Archived off.
- The board uses the score chips, the Channel filter and the search. Stage and Owner apply to the table only.
- The board shows up to 500 leads. When you have more, it says Showing the 500 most recent leads. Use the table view to reach the rest.
- Selecting several leads at once works in the table, not on the board. A selection covers the current page only, and it clears when you change page or sort.
- From the table, the Previous and Next arrows on the lead's page move through the leads on the page you opened it from, in the same order. From the board, they move through the whole board, column by column.
