Summary

Overview: A quote is a priced offer that Pippify sends to a lead. Pippin can draft quotes from your conversations, and your team can write or build them too. Every quote waits for a person to approve it before it goes out.

Prerequisites:

  • Your business type is Travel Agency or B2B - Closing Deals. Workspaces set to B2B - Appointment Setting have no quotes.
  • To send quotes by email, a connected email inbox (Gmail or Zoho Mail).

How Pippin Decides

  1. When a conversation is ready for a price, Pippin drafts a quote for the lead.
  2. Your quote style decides what Pippin drafts. In a Travel Agency workspace, an Admin sets it under How Pippin quotes on the Quotes tab of Settings › AI Studio; other business types always quote from the catalog. With Catalog quoting, Pippin finds the price in your knowledge base. With Costed quoting (Travel Agency only), Pippin drafts the structure of a costing and your team fills in and checks the costs.
  3. With Catalog quoting, if your knowledge has no price for a clear request, Pippin drafts nothing. It tells the customer your team is preparing the quote, and your team gets "Pippin couldn't price [name]'s request from your catalog — draft the quote" so a Sales Manager or Admin can prepare it.
  4. Pippin never sends a quote on its own. The draft gets the status Pending Review and waits in the Review Queue. Your team gets a notification: "Pippin drafted a catalog quote for [name] — review it" (or a costed quote).
  5. A person approves it with Approve & Send, or rejects it.

Limits

  • Quotes always wait for approval, whatever your automation level (Review every reply, Supervised or Full auto).
  • Pippin doesn't draft a new quote for a lead while another quote for that lead is waiting in the Review Queue.
  • Workspaces set to B2B - Appointment Setting have no Quotes page, no Quotes tab on leads and no Quotes Sent report.
  • Costed quotes are for Travel Agency workspaces that use Costed quoting only.
  • A quote that Pippify sends counts as an outcome. A lead counts once per billing cycle, so a second quote to the same lead in the same cycle doesn't count again. Settings › Billing shows your usage.
  • A quote that you only log as sent outside Pippify does not count as an outcome.

Step-by-Step Instructions

Step 1: Know the two kinds of quotes

  1. Catalog quote: a written quote document. Pippin drafts it with prices from your knowledge base, or a Sales Manager or Admin writes one by hand. Some catalog quotes include Options (for example, the same package at several hotels), each with a per-person rate and a headcount.
  2. Costed quote: a quote priced from a costing. The costing holds programs, days, hotels and net costs. Pippify adds your markup and builds the client document from it. Costed quotes have versions (v1, REV 1, REV 2 and so on).

Step 2: Know where quotes appear

  1. Quotes in the left menu lists every quote. A badge on it counts the quotes waiting for review.
  2. Each lead's page has a Quotes tab with that lead's quotes.
  3. The Review Queue shows each quote waiting for approval, marked Catalog quote or Costed draft. On the Quotes page, the Type column (off by default) shows Catalog or Costed.
  4. The Dashboard shows quotes sent, and the Quotes Sent report gives more detail (Sales Managers and Admins).

Step 3: Know the quote statuses

  1. Draft: saved but not sent. Quotes you write yourself start here.
  2. Pending Review: drafted and waiting for approval.
  3. Sent: delivered to the lead.
  4. Viewed: the lead opened the quote email. Pippify can only tell this for quotes sent by email.
  5. Once a quote is Sent or Viewed, it is locked. It opens read-only, and it can't be edited, deleted or sent again. To change the offer, make a new quote with Regenerate with AI.

Step 4: Know how a quote reaches the lead

  1. On an email lead, Pippify emails the quote from your connected email inbox (Gmail or Zoho Mail) with the quote attached as a PDF. A costed quote also attaches a Word file. The email shows a short summary (the item count or options and the total) only when the quote has prices in its items or options. A quote whose prices are written only in the document shows no total in the email; its validity date still shows when one is set.
  2. On a Messenger, WhatsApp or web chat lead, Pippify sends the quote as a chat message. A quote whose prices are written only in the document gets its reference number instead of a total.
  3. On an SMS lead with no email address, a quote approved in the Review Queue waits until the lead texts back an email address. Pippify then sends it.

Verify It Worked

Success criteria:

  • You can see Quotes in the left menu.
  • A lead's page shows a Quotes tab.

Troubleshooting

Common errors

  • "Quote access is disabled for this account's SDR type.": your business type is B2B - Appointment Setting. Fix: an Admin can change the business type in Settings › Business type.

Limitations & considerations

  • Pippify doesn't mark quotes accepted or declined. Record the result by marking the lead won or lost.
  • A quote with no text and no prices can't be sent. Pippify shows "This quote is empty. Write the quote or add its prices before sending."
