Summary
Overview: When Pippin does not answer an email, the bar above the reply box in the Inbox usually tells you why. This guide lists each message you can see there, what causes it, and how to fix it.
Prerequisites:
- Your email inbox (Gmail or Zoho Mail) is connected under Settings › Channels (Admin only).
- You can open the lead's conversation in the Inbox.
Frequently Asked Questions
The bar says "Pippin drafted a reply and is waiting for your approval." Why wasn't it sent?
Your workspace uses the Review every reply automation level. Pippin wrote the reply, but every reply waits in the Review Queue until a person approves it.
Fix: Click Open Review Queue. The queue shows what the customer wrote next to Pippin's draft. Click Approve & Send, or Edit Before Sending to change it first. To let Pippin answer on its own again, an Admin can switch the automation level to Supervised or Full auto. See How to Approve or Reject Items in the Review Queue and How to Choose Quotes or Meetings and the Automation Level.
The conversation header says "You've taken over this thread". Why is Pippin silent?
Someone on your team paused the AI on this conversation, so Pippin will not talk over a person. If a teammate paused the AI while Pippin was still writing, Pippin stops before sending.
Fix: Reply by hand, or click Resume AI in the conversation header to hand the conversation back to Pippin. It answers the customer's next message. See How to Take Over a Conversation From Pippin.
The bar says "Pippin isn't sure this is a real inquiry" (or "Pippin thinks a colleague sent this", "...a sales pitch or application", "...a system sent this, not a person", "...this is meant for another business", "Pippin isn't sure this is for your business", or "Pippin couldn't check this email (its checker was unavailable), so it hasn't replied")
Pippin checks who wrote each new email before it answers. When it is not sure, it holds the lead for a person to decide. A held lead gets no reply.
Fix: Click Real inquiry and Pippin takes over and replies. Or click Ignore, then Confirm ignore, to delete the lead and its conversation. You can tick Also ignore future emails from that sender. See How to Check a Lead Pippin Held for Review.
No lead was created for the email at all
Pippin never turns some emails into leads:
- The sender is on your Ignored senders list.
- The email looks automated (for example a notification, receipt, newsletter or out-of-office reply).
- Pippin was confident a colleague or a system sent it.
Fix: If the sender is on your list by mistake, an Admin can remove them on the Ignored senders card under Settings › Channels (on the Email tile). See How to Stop Certain Senders From Becoming Leads.
The bar says "No automatic reply was sent because no email account is connected."
No email inbox (Gmail or Zoho Mail) is connected, so Pippin had no mailbox to send from. The Email tile in Settings › Channels shows Not connected.
Fix: An Admin connects Gmail or Zoho Mail on the Email card under Settings › Channels. See How to Connect Gmail or How to Connect Zoho Mail.
The bar says "No automatic reply was sent because the email inbox connection has expired or was revoked; reconnect it in Settings → Channels."
Google (for Gmail) or Zoho (for Zoho Mail) stopped accepting your workspace's email connection, so Pippin can't send or receive email. The Admin also sees a red Gmail is disconnected. (or Zoho Mail is disconnected.) bar at the top of every page, and the Email tile and card in Settings › Channels show Reconnect needed. When you reply by hand, you may see "Gmail authentication has expired. Please reconnect your Gmail channel in Settings → Channels." or "Gmail credentials are invalid. Please reconnect your Gmail channel in Settings → Channels." On Zoho Mail, you may see "Zoho Mail stopped accepting this connection. Please reconnect your email in Settings → Channels."
Fix: An Admin goes to Settings › Channels and clicks Reconnect Gmail (or Reconnect Zoho Mail) on the Email card, then signs in to the same account. Emails that arrived meanwhile are picked up. See How to Disconnect or Reconnect Gmail or How to Connect Zoho Mail.
The bar says "No automatic reply was sent because sending failed — check that your email account is still connected."
Pippin tried to send, but the send did not go through.
Fix: An Admin checks the Email card in Settings › Channels. If it shows Reconnect needed, click Reconnect Gmail (or Reconnect Zoho Mail). If it shows Connected, reply by hand and email support (below) if it keeps happening. See How to Disconnect or Reconnect Gmail.
The bar says "No automatic reply was sent because this lead is marked won or lost."
Pippin does not reply to a lead marked Won or Lost.
Fix: Reply by hand, or move the lead back to an open stage. See How to Mark a Lead Won or Lost.
The Inbox says "This lead is archived. Pippin is not replying and follow-ups are stopped."
Pippin stays silent on an archived lead. The reply box is hidden until the lead is unarchived.
Fix: Click Unarchive. See How to Archive or Unarchive a Lead.
The bar says "No automatic reply was sent because this contact was already answered a moment ago."
The same sender wrote again shortly after Pippin answered them, so Pippin skipped a second introduction. You also get a "New message from ..." notification for it.
Fix: Read the new email and reply by hand if it needs an answer. See How to Reply to a Lead From the Inbox.
The bar says "No automatic reply was sent because the AI was temporarily unavailable."
Pippin's AI could not be reached at that moment.
Fix: Reply by hand. The bar shows how long ago this happened (for example "3h ago"). It clears the next time a reply is sent on the conversation. See How to Reply to a Lead From the Inbox.
The bar says "No automatic reply was sent because the AI had nothing to send.", "...there was no message to reply to.", "...something went wrong while reading the message.", "...of an account configuration problem." or "...of an unexpected problem."
Pippin could not produce or send a reply for this message.
Fix: Reply by hand. If it keeps happening, email support (below) with the lead's name and the time shown on the bar.
The bar says "No automatic reply was sent because your Pippify subscription is inactive; reactivate it under Settings > Billing."
The workspace is read-only, so nothing is sent, by Pippin or by hand. The reply box shows "This workspace is inactive, so replies can't be sent."
Fix: An Admin reactivates the subscription under Settings › Billing (the reply box shows a Go to Billing link to the Admin). Other roles see "Ask your workspace admin to reactivate it." See Why a Feature Is Locked and What Read-Only Means.
The customer has unsubscribed
When a lead opts out, Pippin never replies to them again. If they write anyway, you get the notification "<name> sent a message but has opted out — the AI won't reply; respond manually if needed".
Fix: Reply by hand if you need to. You will see "Heads up: this lead has opted out of messages. Your message was sent, but the AI will stay silent on this thread." See What Happens When a Customer Opts Out.
