Why Didn't Pippin Send a Booking Link?

Summary

Overview: Pippin offers your booking page when a customer is ready to meet. Depending on your automation level, it either sends the link itself or leaves it in the Review Queue for a person. This guide lists why a booking link may not have reached the customer, and the fix.

Prerequisites:

  • Cal.com or TidyCal is connected under Settings › Connectors, with a Booking Page URL saved (Admin only).

Frequently Asked Questions

The booking link is waiting in the Review Queue

On Supervised and Review every reply, Pippin drafts the booking link and waits for a person. You get a notification such as "Pippin drafted a booking link for <name> — review it", and the lead moves to Meeting Requested. On email, Pippin's reply and the link go out together as one email, so on Supervised the reply that carries the link waits too.

Fix: Open the Review Queue and click Approve & Send on the Booking Link item (click the Booking links chip to show only booking links). Any role can approve. To let Pippin send booking links itself, the Admin chooses Full auto ("AI replies instantly and sends booking links itself; quotes still wait for approval."). See How to Approve or Reject Items in the Review Queue and How to Choose Quotes or Meetings and the Automation Level.

We chose Full auto, but booking links still wait for approval

Full auto is a Growth plan and up feature. On a lower plan, Pippin works as Supervised and booking links wait. If Full auto was saved before a downgrade, Settings › AI Studio › Guidance shows "Full auto is available on the Growth plan and up. Your saved setting will resume when you upgrade; booking links wait for approval until then." with an Upgrade link.

Pippin also puts the link in the Review Queue when an automatic send fails, so the link is never lost. On Messenger, Pippin sends a booking link by itself only within 24 hours of the customer's last message; after that, the link waits for a person, who can approve it up to 7 days after that message.

Fix: The Admin moves to the Growth plan or higher under Settings › Billing, or approves the links in the Review Queue. See How to Subscribe or Change Your Plan.

Appointments says "... is connected but no booking URL is set — leads won't receive a booking link."

Your calendar is connected, but no booking page is saved, so Pippin has no link to offer.

Fix: Click Add your booking URL, or the Admin goes to Settings › Connectors, enters the Booking Page URL (it must start with https://) and saves. See How to Connect Your Calendar (Cal.com or TidyCal).

Appointments says "Your calendar is not connected, so no bookings will appear."

No calendar is connected, so Pippin has no booking page and booked meetings do not show in Pippify.

Fix: Click Connect your calendar (Admin). See How to Connect Your Calendar (Cal.com or TidyCal).

Pippin offered a quote instead of a meeting

In Settings › AI Studio › Guidance, under Routing preferences, When a customer is ready to move forward may be set to Prefer quotes, or Let AI decide chose a quote for this inquiry. (In a B2B - Appointment Setting workspace Pippin always aims for a meeting.)

Fix: The Admin picks Prefer meetings. See How to Choose Quotes or Meetings and the Automation Level.

The customer asked for a person, and Pippin handed the conversation over

For a sensitive request, such as a complaint about a payment, Pippin hands the conversation to your team and pauses on that lead instead of offering a booking link. Pippin decides from the conversation; a customer who simply asks to talk to a person usually gets the booking link.

Fix: Answer the customer yourself from the Inbox. If a meeting helps, open the lead's Appointments tab and click Send Booking Link. See When Pippin Hands a Conversation to a Person and How to Send a Booking Link From Appointments.

Approving a Messenger booking link gives "Messenger's messaging window has closed — the customer must message you first."

More than 7 days have passed since the customer's last Messenger message, so Messenger won't deliver it.

Fix: Reject the item and wait for the customer to write again. See How to Approve or Reject Items in the Review Queue.

Approve & Send is greyed out with "We couldn't confirm this booking email reached the customer, so it can't be approved here."

An earlier attempt to send this booking email may already have reached the customer, so Pippify won't send it again on its own.

Fix: Click Check the conversation, then resend from the lead page. Check the conversation or your mailbox's sent folder. If the customer didn't get it, click Send Booking Link (or Resend Link) on the lead's Appointments tab, then Send again anyway. See How to Send a Booking Link From Appointments.

This lead already got a booking link

Pippin sends or drafts one booking link per lead. If a link was already sent, or one is waiting in the Review Queue, Pippin does not make another. Until the customer books, Pippin's replies point back to the link already in the conversation.

Fix: Check the conversation for a Booking link sent note, or the Review Queue for a waiting link. To send it again, open the lead's Appointments tab and click Resend Link, or Copy Booking Link and paste it into your own reply. See How to Send a Booking Link From Appointments.

The free trial reached its outcome cap

At the cap, Pippin keeps answering but stops drafting quotes and booking links. Approving one shows "Your free trial reached its [number]-outcome cap. Subscribe under Settings > Billing to continue drafting quotes and bookings." Settings › Billing shows your cap.

Fix: The Admin subscribes under Settings › Billing. See How the Free Trial Works.

Approving gives "Your Pippify subscription is inactive. Reactivate it under Settings > Billing to send messages, quotes and booking links."

The workspace is read-only.

Fix: See Why a Feature Is Locked and What Read-Only Means.

Pippin isn't replying to the lead at all

Then the booking link is not the problem. See Why Didn't Pippin Reply to This Email?
